Position: Pharmacy Supervisor
Location of Job: Patna
Duration : 12 months (Renewable)

PURPOSE OF POST:

Ensuring general functioning of the pharmacy and supervising pharmacy supply chain processes in accordance with DWBI standards, protocols and procedures, in order to ensure its efficiency and operating availability.

FUNCTIONAL AND HIERARCHICAL LINES

Reports to (Hierarchical): Project Medical Referrent Reports to (Functional): Mission Pharmacy Manager

ACCOUNTABILITIES:

• Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to DWBI protocols, national regulations and in cooperation with the logistics and supply department.
• Coordinating the delivery, reception and recording of international and local orders, in close coordination with the logistics and supply department, updating stock files and informing line and functional manager on their status (shortfalls, over- stocking, expiry dates), in order to permanently ensure security stock levels and ensure efficient management of stock.
• Supervising orders of medical and drug material in order to ensure an efficient and appropriate consumption pattern under budget constraints.
• Supervising the supply of drugs to patients, according to medical prescriptions, informing them on consumption patterns and keeping conditions in order to ensure their therapeutic progression.
• Ensuring efficient supply to other pharmacies managed/supported by DWBI according to orders and stocks, and using cold chain when needed. Monitoring and analysing orders of depending pharmacies in order to avoid ruptures of stock or having expired drugs.
• Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance evaluation, development and internal/external communication) of the pharmaceutical team and the nursing staff, in order to ensure both the sizing and the amount of knowledge required and to improve their dispensing capabilities.
• Recording all items received and issued in stock card and computer tool CDT and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalise the budget and to ensure availability.
• Assisting in training of nursing staff regarding dispensing of drugs and their side effects

CONTEXT SPECIFIC ACCOUNTABILITIES:

• Ensure and accountable for medical stock management as per DWBI Standard.
• Support in maintaining biomedical equipment database and tracking with collaboration from Project Biomed and Logistics Manager.
• Take lead with respective department for the medical order preparation and order placement as per Mission Medical Order calendar.
• Ensure DWBI standard medical supply reception and its reporting.
• Maintain reception database about all required information like manufacturing site, Batch No. etc.
• Perform central pharmacy Inventory on regular basis and report if any discrepancies find.
• Timely reporting of Monthly reports like CT data, pharmacy report, inventory, discrepancies, stock reception etc with clear states and planning of Overstock, Short expired, Stock to be ruptured and Sleeping stock medical items.
• To prepare, maintain and keep updating Patna Medical Standard List and FMC in FMC tool and CT database and its update. Accordingly harmonized code and articles name in all related files and tool.
• Take initiatives and tracking of Loan/Donation IN and OUT from DWBI/External organisation.
• Forecasting and preparation for related activities in accordance to smooth medical supply to the end user.
• Keep accountabilities and arranging medical supplies from MoH under the supervision and reporting to line manager and functional manage.
• Expired drugs management- To facilitate medical waste management with logistics dept. as per state CPCB rules and DWBI STD.
• Local Purchase: Ensure local purchase SOP has been followed at every exceptional purchase at Patna.
• Pharmacy Budget – Under the supervision of line manager and functional manager. Forecast and plan the annual Pharmacy activities and annual budget required for medical stock to run medical operation smoothly.
• Participate in periodic budget revision and keep tracking and updating current budget status under the Pharmacy financial code(starts from 60)
• Reporting – To centralise all report related from Central stock pharmacy, IPD Pharmacy as well as end user unit and reporting to line manager and functional manager.
• Meeting – Participate and represent in medical meeting about Pharmacy Challenges and related information.
• Regulatory – Tracking Pharmacy related Licenses and its validity to inform and arrange if any meeting requires with MoH officials.
• Antimicrobial Stewardship – Ensure active participation to improve the AMS.
• Propose innovative idea for cost effective resources and improve in quality care for the patients. e.g- Pharmacovigilance, Material vigilance, End user feedback etc.
• Documentation – To arrange in logical manner about all pharmacy related tools, reports, files and documents inside Pharmacy computer and its backup.

Other Responsibilities

• To supervise both Hierarchial and Fuctional level to the Pharmacy technician at Patna Project.
• States clear communication and information to the Pharmacy technician for Pharmacy related activities.
• Prepare Pharmacy duty roaster and ensure to be followed.
• Identify the knowledge gaps and skill required for the Pharmacy technician and propose Skill training to the Mission Pharmacy Manager.
• Participate in Pharmacy technician recruitment and Job description update as per requirement.
• Supervise all activities of IPD Pharmacy and support to the pharmacy technician.

REQUIREMENTS

• Education: Essential B.Pharma from a PCI recognized institution in India. Essential Registration of any State Pharmacy Council
• Experience: Essential Two years of experience as pharmacy supervisor in a similar setting. Desirable experience in DWBI, hospitals, clinics, healthcare centres, MSF or other
NGOs.
• Languages: Hindi and English are essential.
• Knowledge: Essential computer literacy (word, Outlook, excel and internet)
