Job Description:

We are currently searching for a highly organized, reliable Administrative Assistant to perform and coordinate office administrative tasks. The successful candidate will have a proactive approach, a strong sense of responsibility, and a high degree of professionalism.

Key Responsibilities:

  • Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.

  • Answering and directing calls to appropriate executives and parties, taking messages.

  • Greeting visitors and determining access to appropriate parties.

  • Overseeing administrative policies within an organization and within the office.

  • Process and report on office expenses.

  • Track office supply inventory and approve supply orders.

  • Manage and maintain files, records, and correspondence for meetings.

  • Draft and distribute office memos, letters, and forms.

  • Taking dictation and minutes of meetings.

  • Assist in planning company events, meetings, luncheons, and employee team building activities or special projects.

Qualifications/Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

  • Strong organizational, project management and problem-solving skills

  • Excellent written and verbal communication skills

  • Ability to manage complex tasks and prioritize competing demands

  • Detail-oriented with excellent time-management skills

This role requires an individual who is professional, diligent, detail-oriented, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.

Education and Experience Requirements:

  • High school diploma or equal; bachelor’s degree in business administration or related field preferred.

  • Previous experience as an administrative assistant or related role.

  • Proficiency in office technologies including computer systems, copiers, phone systems, and data entry software.
