DescriptionThe Retreat and Conference Manager is responsible for overseeing the daily operations of The Salvation Army Jackson’s Point Conference Centre, ensuring guest satisfaction, efficient management, and providing strategic direction. Their duties include hiring, training, and supervising staff, managing budgets, implementing marketing strategies, and maintaining compliance with laws, legislative requirements, and guidelines.KEY RESPONSIBILITIES:
- Provide leadership, oversight, and direction to all aspects of the Jackson’s Point Conference Centre operations in accordance with the Mission, Vision, and Values of The Salvation Army, in consultation with the Divisional Youth Secretary.
- Participate in the planning, developing, and executing of strategic initiatives.
- Review and recommend changes to general policies and procedures, as well as review and develop policies.
- Liaise with Business (Finance and Property) and Human Relations personnel at Divisional Headquarters.
- Monitor practices to ensure compliance with relevant health and safety standards, inspections and certifications and prepare, submit, and act on incident reports, including recommending proactive prevention measures.
- Provide leadership to the direct reports through regularly scheduled team meetings, as well as one on one meetings to establish clear objectives and review performance, both informally and formally.
- In consultation with the Divisional Youth Secretary, identify, develop, and implement improved methods of operating an effective and efficient conference centre; ensure that the requirements of The Salvation Army are consistently met including any government regulations and laws.
Day to Day Operations
- Oversee the day-to-day operation of Jackson’s Point Conference Centre operations/properties, including identifying and resolving of potential risk situations, ensuring the protection and security of the property.
- Order or supervise the ordering of food, supplies, and equipment, and arrange for proper distribution; supervise and evaluate, or supervise evaluations of, all operations staff and maintain and review records and evaluations of all operations, staff, and facilities.
- Manage budgets/expenses, analyze, and interpret financial information and monitor sales and profits.
- Develop and implement an intuitive and efficient marketing strategy to promote the conference centres services.
Property, Buildings, Equipment, and Inventory
- Ensure the maintenance of all plumbing, electrical, building repairs, pool maintenance, vehicle upkeep, shop cleanliness and organization, & landscaping are completed as required.
- Negotiate contracts for HVAC, water treatment, electrical, major renovations, new construction for approval by administration.
- Oversee contracts and service providers for functions such as security, alarms, pest control, etc.
- Ensure the facilities are well-maintained, proactive maintenance is conducted, and the facilities meet compliance standards and government regulations.
- Ensure work completed by external trades, contractors, and service providers is undertaken in accordance with approved quotations, including completing inspection reports and follow-up responses to noted deficiencies.
Supervisory
- Oversee the hiring of staff, orientate, train, evaluate, recognize, and recommend disciplinary actions including termination in concert with Territorial/Divisional standards and Divisional Human Relations.
- Conduct regular performance appraisals, learning plans of direct reports and addressing performance issues when they arise with the Divisional Youth Secretary.
- Ensure direct reports complete the mandatory training and e-learning within the set time frame and constantly review the skills and competencies of staff to adequately meet the requirements of the job.
Finance and Administrative Duties
- Partake in financial activities, including establishing room rates, setting budgets, and assigning funds to departments; collect payments and maintaining records of budgets, funds, and expenses.
- Participate in the development of pricing and promotional strategies.
- Various administrative duties which include documentation, and tracking statistics as needed.
- Maintain confidentiality and keeps accurate files and statistical records.
- Ensure all requisitions for purchases, services, etc. are processed according to established procedures.
- Ensure all administrative tasks are completed accurately and on time including all paperwork associated with payroll, staff scheduling etc.
- Negotiate with suppliers for the provision of materials and supplies and with guests for the use of facilities for conventions, banquets, receptions, and other functions.
Health and Safety
- Ensure that Health & Safety procedures are being followed and maintained.
- Responsible to work in compliance with the Ontario Occupational Health & Safety Act (OHSA) and regulations.
- Responsible to report any infractions or problems in accordance with policy and procedure.
- Assist in ensuring that all new staff are made aware of emergency procedures and are prepared to implement them immediately as necessary; that all staff adopt safe work practices in line with The Salvation Army policies and procedures.
- Ensure that Liability Incident Reports are filed in the event of an incident at the workplace.
Perform other duties as required.WORKING CONDITIONS:
- This is a permanent full-time position based on 40 hours per week.
- Required to be On Call to address issues/concerns etc.
- Weekday, weekend, and evening work as per operational requirements.
- Ability to lift/move up to 20 lbs. with no assistance from others.
- Ability to walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis.
- Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead. Ability to operate computer, fax, and telephone.
- Travel is a requirement of this position for meetings etc., (10%)
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- Completion of an Undergraduate Degree in Business Administration, Hotel/Hospitality Management, or relevant field.
- Valid Ontario Class “G” Driver’s License, personal vehicle required and insurance, current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.
- Alternative combinations of education and experience may be considered.
EXPERIENCE AND KNOWLEDGE:
- A minimum of four (4) years’ experience in hotel management, business management, human resources management, budget management/controls, supervising/managing people, managing resources and communicating orally and in corresponding with suppliers.
- Knowledge of and understanding of all hotel operating procedures, hotel management best practices and relevant legislation and guidelines.
SKILLS AND CAPABILITIES:
- Strong understanding of hotel management best practices and data entry software.
- Proficient computer skills in using all aspects of Microsoft Office; knowledge of hotel management software is an advantage.
- Supervisory/management skills and the ability to lead, coach, and motivate.
