Procurement & Admin Officer (INT10526)

Please note that this position is short-term, with a duration until August 31, 2024. 

The main tasks of the Procurement & Admin Officer include the following:

  • Responsible for all national and international travel and event management, ensuring cost-effectiveness and active participation in phase-out activities.
  • Overall management of procurements, contracts, and framework agreements in accordance with Oxfam guidelines, policies, procedures, and donors’ requirements.
  • Management of quotation and tender level procurements in a competitive, transparent, and accountable manner.
  • Leadership of procurement activities for emergency response, implementing all standard tools and systems (management, training, and roll-out) as necessary.
  • Regular updates of procurement and contract trackers with complete and accurate information for analysis purposes.
  • Collaboration with Oxfam and partner staff, participation in regular planning and committee meetings. Development of strong relationships with vendors, staff, and partners.
  • For the nursery, tasks will include overseeing the daily operations, ensuring the well-being of the children, managing staff schedules, and maintaining a safe and nurturing environment.
  • In terms of fleet management, responsible for coordinating vehicle maintenance, managing rental vehicle logistics, scheduling fleet staff, and ensuring all safety protocols are followed

Vendors and Other Service Provider Capacity Building:

  • Provision of regular guidance and support to response partners on logistics and procurement matters.
  • Support for partners in procurement, vehicle assets, and inventory management.

Any other tasks assigned by the line manager

 

Essential – Experience, Knowledge, Qualifications & Competencies

 

  • Demonstrated high level communication skills including the ability to initiate and respond to various correspondence
  • Excellent interpersonal and relationship building skills including the ability to work independently, flexibly, and collaboratively as part of a team,
  • Demonstrated experience knowledge management , procurement and event management ,National and international travel  
  • Demonstrated experience of records management in accordance with set standards
  • Demonstrated proficiency in Microsoft Office including Outlook, Word, Excel, and PowerPoint
  • Bachelor’s degree with Minimum with 2-3 years working experience in procurement at high level in large companies/organizations.
  • Fluency in spoken and written Urdu and English
  • Ability to travel to Oxfam programme locations in Pakistan
