Description
Corporate Strategic Events Coordination Officer, Corporate and Institutional Communication Office, Communication Department, Director General’s Services.
Under the direct authority of the Head of the Corporate and Institutional Communication Office, you will be responsible for the definition, planning, development and implementation of ESA’s participation in high-level corporate strategic events within ESA Member States.
To ensure the necessary level of consistency in our corporate messaging, you will also liaise with the ESA Member States Outreach Office that oversees the global deployment and implementation of corporate exhibition activities across all ESA Member States.
Duties
Your tasks and responsibilities will include the following:
- establishing each year, in liaison with the ESA Director General’s Cabinet, a calendar of key strategic events (such as the Paris Air Show, the International Aeronautical Congress, the ILA or ministerial conferences) that would be suitable for the Agency’s and the Director General’s participation;
- negotiating the terms and level of ESA’s presence with the event organisers and supervising all arrangements – including the procurement and logistics activities – necessary for the Agency’s participation in the events, while evaluating and monitoring the budget and resources needed;
- defining, in coordination with the relevant Communication Programme Officers, the participation and involvement of each Directorate in the events while ensuring the necessary level of consistency in the corporate messaging;
- coordinating, in direct liaison with the relevant offices of both the Products and Channels Division and the Outreach Division, the requirements and production of digital, video and print material, as well as the branding, key visuals and merchandising products to be used through the events;
- coordinating, with both the Media Relations Officer for the ESA Director General and the Director General and Corporate Social Media Coordination Officer, appropriate coverage of the Director General’s involvement in the events through media activities and social media coverage;
- ensuring proper external and internal communication on strategic events through the appropriate platforms, channels and forums (such as the ESA Web Portal, corporate social media channels or the ESA intranet);
- promoting the Agency’s involvement in these events in coordination with the ESA Member States Outreach Office through appropriate platforms and forums such as the Member States Advisory Communication Committee, while ensuring the necessary level of consistency in our corporate messaging in the global deployment and implementation of corporate exhibition activities across all ESA Member States.

A master’s degree in a relevant domain is required for this post.
Additional requirements
Planning and organisational skills, problem-solving skills, a result-oriented mindset, and demonstrated competence in one or more of the following disciplines: event organisation, social media, logistics and/or public relations.
Proven relationship management and communication skills along with the capacity to work well under pressure with tight deadlines and the flexibility to adapt to new and unforeseen demands as well as to manage challenging situations proactively.
Experience in outreach, event management and/or public relations would be an asset.

Important Information and Disclaimer
In principle, recruitment will be within the advertised grade band (A2-A4). However, if the selected candidate has less than four years of relevant professional experience following the completion of the master’s degree, the position may be filled at A1 level.
During the recruitment process, the Agency may request applicants to undergo selection tests. Additionally, successful candidates will need to undergo basic screening before appointment, which will be conducted by an external background screening service, in compliance with the European Space Agency’s security procedures.
Note that ESA is in the process of transitioning to a Matrix setup, which could lead to organisational changes affecting this position.

The working languages of the Agency are English and French. A good knowledge of one of these is required. Knowledge of another Member State language would be an asset.
