Through our partnership with Harvard Medical School and the Brigham and Women’s Hospital, we support a wide range of programs in dozens of other countries around the world.

Our Work In Sierra Leone:

Partners In Health (PIH) began supporting the government of Sierra Leone in response to the Ebola epidemic in October 2014. Recognizing the large need for continued investments in the health system after Ebola, PIH is committed to long-term health system strengthening in support of the Ministry of Health and Sanitation (MOHS), guided by the same principles as our emergency response and our work around the world: public sector accompaniment, integrated and comprehensive services, social justice, nimbleness and flexibility, partnership, community ownership, and evidence-based interventions. In the aftermath of the epidemic, PIH is committed to supporting the delivery of comprehensive health services in Sierra Leone, from the community level to the health center and to referral hospitals.

 

Position Overview
The Fleet Manager will effectively monitor as well as supervise fleet staff and related activities on a day-to-day basis, facilitating the provision of technical support to staff during the course of operations whiles ensuring fleet operations are aligned with strategy that contributes to the PIH mission and vision. In team spirit the fleet manager will learn from others and look for ways to incorporate their ideas, requesting and seeking to understand feedback for the smooth running of operations.

 

Essential Duties and Responsibilities:
Team Work Responsibilities

  • S/he maintains transparency in organizing fleet activities, planning carefully and keeping track of the operations and team commitment.
  • S/he is committed to information sharing among colleagues, giving feedbacks respectfully whiles appreciating the sensitive and confidential nature of information.
  • S/he organizes regular meetings with fleet staff and follow-up on matters arising whiles honestly sharing views in an easy way for others to understand.
  • S/he prepares work schedule and fairly distributes workload to drivers under supervision, setting target and measuring progress.
  • S/he participates in conducting technical training with the fleet staff, learning from others and looking for ways to incorporate new ideas.

General Responsibilities

  • The fleet manager will make sure PIH vehicle is operated safely and deployed for legitimate purposes.
  • He provides immediate support and oversees the task of fleet maintenance coordinators whiles setting targets and measuring progress.
  • S/he oversees the activities of fleet dispatch ensuring compliance to work related travel request and identifying irregularities in vehicle movement, whiles ensuring team resources are used wisely.
  • S/he facilitates the renewal process of vehicle license and insurance with SLRA agent in time to avoid break in operations while helping others meet their goals.
  • S/he ensures the archive is continuously updated with relevant fleet documents placed in a chronological order as s/he productively deal with ambiguity.
  • S/he records all vehicle requests on a tracker sheet and consolidate pending travel requests at closed of business while communicating with requesters to confirm a better way to tailor support.
  • S/he provide oversight roll on refueling activities for vehicles including motorbikes and generators whiles Fuel Request Forms and Generator Fuel Cards is been collected for review purpose to ensure resources are used wisely.
  • S/he develops and maintains updated tracker sheets on the supply of fuel and report to the supervisor on monthly basis.
  • S/he effectively follows up on fleet related matters with staff addressing conflicts and resolving the underlying issues in an open-honest conversation.
  • S/he review staff time tracker along with timesheets to confirm number of days worked for each staff.
  • S/he ensures all vehicle keys are safeguarded and identified with tags whiles anticipating problems and adjusting for changing circumstances.
  • S/he provides technical support to procurement team in carrying out market surveys and identify potential vendors that might become standing suppliers for fleet related services.
  • Work with the National Fleet Manager to produce monthly fleet reports (including fuel and maintenance reports)

S/he undertakes any other related duty as may be assigned by the supervisor.

Education and Work Experience Requirements
  • Proven work experience as a Fleet Manager or similar role (at least 5 years’ experience)
  • Knowledge of vehicle maintenance processes and operations
  • Ability to effectively manage schedules
  • Strong fleet report writing skills
  • Strong organizational skills
  • Understanding of fleet management software
  • Good problem-solving abilities
  • Excellent verbal and written communication skills
  • BSc degree in Logistics, Business Administration or relevant field
