The incumbent will be responsible for the management of the faculty human resources requirements for the Department of Botany including all recruitment, promotion and tenure, and reappointment processes for bargaining and non-bargaining faculty.Organizational Status
The Manager of Faculty Human Resources reports to both the Head of the Department and the Departmental Administrator. Works in the Department of Botany and interacts with faculty, staff, and students. The person in this position is the primary liaison with the Faculty of Science Dean’s Office, Faculty Relations, Human Resources, Finance, and other university and government agencies.Work Performed
Manages all aspects of faculty appointment processes for research and teaching stream Assistant Professors/Associate Professors/Professors, Lecturers, Sessional Lecturers, Post-Doctoral Fellows, Research Associates, Visiting Faculty, Adjunct Professors, Associate Members, Emeriti faculty and Honorary positions.Oversees the preparation of appointments, promotion and tenure cases. Serves as the resource person for the Departmental Promotion and Tenure Committees, Peer Review of Teaching Committees, and the Department Head; ensures compliance by obtaining sensitive and confidential information and reference materials related to appointment, promotion, tenure, and salary administration.Consults with the Science Dean’s Office and Faculty Relations to ensure compliance with the UBC Faculty Collective Agreement when necessary.Maintains and advises the Head on the periodic review and performance interview schedule for full-time faculty members.Collaborates with other departments on HR processes within and outside of the Faculty of Science for a significant number of joint tenure stream faculty members.Coordinates the recruitment, appointment, and renewal process of Lecturers and Sessional Lecturers. Processes and authorizes appointments in compliance with the Sessional Agreement and interprets this information for Sessional Lecturers. Forecasts sessional expenditures and prepares a financial report for the Administrative Director.Manages all recruitment advertisements and ensures UBC advertising policies and recruitment guidelines are met; advises and implements appropriate changes when needed in consultation with the Dean’s office and Provost office. Ensures publication deadlines are met; forecasts budget for faculty recruitment, approves expenditures and prepares a financial report for the Administrative Director.Develops and implements the faculty recruitment process via the Academic Jobs Online platform in addition to Workday. Oversees office staff in the collection of relevant documents for all candidates and interview coordination.Responds to applicant queries and acts as the HR counsel for search committees.Maintains knowledge of and implements policies and procedures around foreign national faculty immigration to fulfill IRCC, Service Canada, and other restrictions.Coordinates all aspects of the relocation of new faculty members, ensuring compliance with Faculty Relations, and the Relocation and Immigration office. Works with the Facilities Manager to provide faculty onboarding orientation.Acts as the resource to the Staff & Facilities Manager on all aspects of hiring foreign nationals and related immigration when necessary. Provides support and counsel on staff management, recruitment, and online appointment systems.Manages the retirement process for faculty members.Contributes to and implements departmental policies and guidelines around faculty human resource functions.Works with the Department Head on faculty related complaints, violations, and termination.Oversees the coordination and maintenance of records of faculty awards for the departmentOversees the departmental faculty leaves, sabbatical application, submission, and tracking processes.Coordinates and implements the annual faculty salary increase process including Career Progress Increments (CPI), Merit/PSA, and GWI.Consequence of Error/Judgement
This position requires the highest level of tact, discretion, and accuracy in providing guidance and managing sensitive issues. Errors in judgment will reflect negatively on the Department of Botany and UBC, and could easily lead to irreparable damage to the department in the form of lost opportunities in hiring, union action, or the loss of existing personnel. If confidentiality is mishandled or breached, professional and academic careers may be affected. Providing incorrect data could have adverse budgetary consequences, mistakes in mismanagement of staff could cause distress, affect staff morale and impact the operation of the department. Works independently and makes authoritative decisions on a daily basis.Supervision Received
Reports to the Head on faculty matters, and the Administrative Director on financial and staff human resource matters (as needed). Works independently and sets own priorities based on workload and receives no day-to-day supervision.Supervision Given
Assigns work and provides supervision on projects and tasks to main office staff, as needed.Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two to three years of related experience, or the equivalent combination of education and experience.– Willingness to respect diverse perspectives, including perspectives in conflict with one’s own– Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusionPreferred QualificationsEducation/ Work ExperiencePreferred UBC experience working with senior managers and administrators. Thorough knowledge of UBC practices, procedures, and policies.SkillsAbility to maintain accurate documentation, and has very strong attention to detail. Ability to analyze and interpret data, determine implications, and provide recommendations. Ability to understand and apply policies, procedures, and instructions. Ability to effectively prepare for and recruit candidates. Has excellent verbally and written communication skills. Ability to make thoughtful, informed, and thorough decisions.Ability to exercise sound judgment. Ability to interpret and apply collective agreements in a complex, unionized environment. Ability to work effectively with minimal supervision. Ability to approach interactions with an awareness of sensitive issues. (e.g., issues concerning specific cultures). Ability to exercise tact and discretion. Ability to develop and implement policies and procedures. Ability to analyze problems, identify key information and issues, and effectively resolve situations. Ability to analyze and redesign work flow/business processes to make them more efficient and effective. Ability to establish effective relationships with a variety of stakeholders. Ability to determine the nature and urgency of inquiries and issues, and triage appropriately.
