About The RoleThe roleWorking within the Marketing team, you will support the delivery of a range of events, meetings and hospitality activities in-line with business plans to create brand awareness, generate new business opportunities and support existing client relationships. You will work closely with the Central Marketing, Business Development and Corporate Communication team to ensure we deliver the best possible client event experience.This role is critical in developing a first-rate client experience which supports all aspects of our brand values including ensuring that all aspects of each event from the content delivered to all the processes, are ‘forward thinking’ and ‘straight talking’.You will report to the Senior Event Producer and work closely with all members of the events team as required.You will be required to be onsite in the London office for events and required to travel to other offices/locations to support event delivery as and when required and as directed by the Senior Events Producer and/or Senior Event Manager.You will also be required to support the London FOH team as required to cover planned/unplanned absence.Responsibilities include:

  • Support the on-site delivery of events, predominantly in the London office but for other offices when required ensuring the highest standard is always delivered.

Duties include: * Meet and greet clients, hosts, and speakers.

  • Front of house coordination for onsite events
  • Ensuring all requirements for the event are in place – materials placed out, IT requirements are set up, name badges set up etc.
  • Support the London FOH team as required due to planned/ unplanned absence in the wider team and/or as additional resource in busy periods.
  • Overseeing and supporting team on team events, working with secretaries on the delivery and ensuring there is central visibility/inclusion in event calendars.
  • Support the management of corporate hospitality bookings and hospitality events across the business.
  • Responsibility for the London external networking events calendar. Ensuring information is updated on FRED and visible to the business.
  • Support with updating interaction for events as instructed by event producers/senior event manager.
  • Perform industry event and venue research as required.
  • Support the delivery of event support materials including event invitations, events packs, and all associated material, ensuring they bring the Gateley brand to life.
  • Own and co-ordinate the supply of events merchandise and marketing materials such as printed collateral, gifts, stands and other support materials.
  • Managing the events calendar/schedule.
  • Support the senior event manager with ad hoc projects as and when required.
  • To be aware of and comply with the company’s policies and procedures.

This role covers in-person events as well as providing cover to the FOH team so we would expect the person to be in the office a minimum of 3 days per week, at times 5 days per week.This job description is not an exhaustive list due to the requirements of the role.
