Administrative Support Agent, Class I

Champlain College Saint-Lambert requires the services of an ADMINISTRATIVE SUPPORT AGENT, CLASS I for a full-time replacement position in the Continuing Education Department.
FUNCTIONS
Reporting to the Operations Manager of Continuing Education, the incumbent will perform a set of administrative and clerical functions of a relatively complex nature that support the students, courses, programs and services offered by the department, according to established methods and procedures.
The incumbent will provide administrative support for students and professionals from various programs, courses and services offered by Continuing Education.
MAIN RESPONSIBILITIES
1. Provide excellent service to our students and potential students in answering inquiries both verbally and in writing that can include but are not limited to: greeting onsite visitors, phone calls, emails, videoconferencing, etc.
2. Perform administrative tasks in support of students such as registration, preparation of certificates and diplomas, and the processing and maintenance of student files.
3. Assist the students in the integration into their program, that can include, but not limited to: assistance with accessing different IT platforms, obtaining lockers, and required books and equipment.
4. Guide students to the appropriate services offered to them when needed.
5. Transcribe and format texts, create tables and graphics, keep databases and records up to date, book appointments, organize meetings and / or events, develop and update reference documents and tutorials for students on departmental processes and procedures, and keep the program documents and information up to date.
6. Seek out and collect information to be included in correspondence or reports; gather, classify and archive files as per established procedures.
7. Participate in the preparation and contribute to the implementation of departmental events for students and potential students such as conferences, fairs, open house and graduation ceremony.

Requirements:
Education

Must have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.

Experience

Minimum one (1) year relevant work experience.

Competencies

Must be able to communicate proficiently in both English and French (verbal and written).

Must be proficient with Microsoft Word and Excel.
