About usThe Department of Mathematics at UCL is an internationally renowned department within one of the world’s most prestigious universities. Since its beginning, mathematics at UCL has been enhanced by its many outstanding members of staff. Indeed, two of its students (and later staff) Professor Klaus Roth (1958) and Professor Alan Baker (1970) have gone on to win the Fields Medal. Another former member of staff Professor Tim Gowers won the Fields Medal in 1998 for work he did whilst at UCL. Since 2011 the department has grown considerably with academic staff increasing by 25%. There are now 46 academic members of staff of whom 25 are full professors, and a number of Honorary members of staff, including four Fellows of the Royal Society. The department also has 19 Postdoctoral Research Fellows, around 65 PhD students and 45 MSc students. We also welcome a regular stream of distinguished visiting academics from home and abroad. The broad range of research interests is reflected in the large choice of courses available in the third and fourth years of the degree programmes, from spectral theory, groups and geometry to fluid mechanics and from mathematical ideas in biology to cosmology. Research funding in the department from EPSRC, ERC, Leverhulme Trust and the Wellcome Trust has grown significantly in recent years with an increase of 70% in total funding since 2011.About the roleThe post holder will need to be able to start 22nd January 2025 or as soon as thereafter. We plan to conduct tests and interviews in the week commencing 9th December 2024.This role is working within the Professional Services Team in the Department of Mathematics, serving an UG cohort of over 1000 students.The Department has a large cohort of UG and PG taught students as well as a thriving research student community. By utilising networks and the pastoral care system already in place, the role holder will be able to collaborate effectively across a range of colleagues, networks and students, which is essential for success in the role.The post holder will be expected to be adaptable, quickly assimilate information, not be afraid to ask questions and find out information and establish their own support networks across UCL. An excellent eye for detail, superb organisational skills and the ability to communicate effectively are essential.The role holder, in partnership with the Departmental Tutor and colleagues, is responsible for supporting our students and enhancing their experience to ensure and improve student success. As a vital member of the Teaching and Learning teams, the role holders’ responsibilities extend to collaborating with other colleagues across the Faculty, Student Support and Wellbeing teams and beyond.Our students’ well-being, support and success are at the core of an exceptional student experience. The post holder is expected to significantly influence and enrich our approach in this area, contributing innovative ideas to strengthen our student welfare support. This will involve enhancing student wellbeing, collaborating with the student body and staff to organize events and activities that enhance the student experience, creating an inviting and welcoming environment, supporting the student tutoring system, and ensuring access to relevant guidance (or developing it) to assist in maintaining the mental wellbeing of our students.The role-holder must quickly learn about and understand the Department and build a knowledge base of other UCL services to which students may be referred for support, such as the Careers Service, Students’ Union, the Student Support and Wellbeing team, and the Medical Centre.A full job description and person specification can be accessed at the bottom of this page.This job description reflects the present requirements of the post.   • Minimum of 5 GCSEs at Grade C or above (Including Mathematics and English Language) or equivalent or having acquired relevant experience.
  • Educated to A level standard (including A-C in 2 subjects), or equivalent experience such as report writing and interpreting data.
  • Educated to degree standard, or equivalent.
  • Knowledge of relevant data protection requirements
  • Administrative work in a busy office environment
  • Administration in higher/further education or a teaching and learning environment
  • Course/Programme administration including dealing with student/customer enquiries.
  • Systems such as PORTICO and CMIS (for timetabling).

Skills and abilities:

  • Computer literate, including Word and Excel to a high standard, Outlook and/or other email programs, and social media applications.
  • Ability to use web publishing software to produce documents for the web
  • Excellent verbal and written communication skills (including accurate grammar, spelling and punctuation).
  • Report-writing skills.
  • Good numeracy skills with the ability to present and interpret statistics.
  • Good interpersonal skills and the ability to liaise with a variety of people, including the ability to relate to staff and students in a teaching and learning context
  • Ability to prioritise and organise own workload.
  • Ability to work under pressure and manage high volumes of processing.
  • Ability to work accurately and with thorough attention to detail
  • Ability to meet time-critical schedules.
  • Ability to work independently and as part of a team.
  • Ability to work confidentially and pro-actively
