JOB DESCRIPTION: PROJECT COORDINATOR

Wave is looking for a coordinator with a flexible start date, no later than the first week of January 2025. The role is based in Thessaloniki, Northern Greece, and requires the individual to oversee the overall planning, implementation and monitoring of Wave’s activities while upholding and enforcing a commitment to the organisation’s values and code of conduct.

Wave runs a community centre that offers access to hot meals, showers, non-food items, WiFi and laundry services with an open-door policy. The centre currently operates four days a week and the Project Coordinator is responsible for overseeing the management of project activities. This role will be full-time.

Start Date: January 2025

Minimum commitment: 9 months (one-month probationary period), full-time

Key responsibilities:

  • Plan, implement and monitor the project’s activities in close collaboration with the coordination team, ensuring they align with the project’s goals and proposals while meeting objectives within set timelines and budgets.
  • Serve as the primary focal point for partners and external organisations, fostering strong relationships and ensuring effective communication.
  • Liaise with donors, maintain relations, identify funding opportunities and prepare grant proposals.
  • Write financial and narrative reports to meet donor requirements and provide regular donor updates on project progress.
  • Work with the coordination team to develop fundraising campaigns and initiatives.
  • Manage administrative tasks such as handling emails and communications, organising weekly coordination meetings, assigning tasks and ensuring timely completion.
  • Support the work of Wave through social media by creating and scheduling posts to promote project activities and website maintenance.
  • Work alongside the other coordinators to keep operational guidelines, policies, and security protocols up to date and the volunteer team well informed about the procedures.
  • Attend monthly team meetings and support with carrying out 1:1 check-ins and exit interviews with all volunteers. These are divided among all coordinators.
  • Offer incident debriefs as needed (to be discussed in coordination meetings) and promptly report any concerns or operational problems, ensuring timely communication and passing on feedback about issues.
  • Supervise and work in the centre two days a week to maintain a consistent presence in the community space. This hands-on approach will help assess operational needs, support coordination team members and engage with the communities we work with to ensure the project’s objectives are met.
  • Demonstrate a strong understanding of and commitment to confidentiality when engaging with the team whilst adhering to safeguarding policies where confidentiality may impact the safety of the community, volunteers, or Wave.

Requirements:

  • Experience managing or coordinating projects
  • Excellent interpersonal and team-management skills
  • Strong organisational and multitasking skills
  • Fluency in English with strong written and verbal communication skills
  • Ability to work well under pressure, adapt to changing team dynamics and respond to evolving project needs and challenges
  • Experience working with people-on-the-move/refugees or in a similar field of working with vulnerable populations
  • A developed understanding of boundaries and safeguarding
  • Ability to stay in Greece for 9 months or beyond

  • Experience in a similar role
  • Experience with fundraising and writing grant applications
  • Experience managing social media platforms
  • Experience working closely with community members
  • Experience working in a community centre setting
  • An understanding of the ongoing situation for people-on-the-move in Europe, especially at the borders
  • Valid driver’s licence with the ability to drive a manual van
  • Knowledge of Greek and other languages such as Arabic or Farsi

What we can offer:

  • A unique, practical learning experience working in a non-hierarchical, grassroots organisation providing direct aid to people-on-the-move.
  • A monthly stipend of €1,000.
    • Unfortunately at this time, we are unable to offer a Greek employment contract. We can either pay a stipend through the reimbursement of receipts, or the payment of invoices which meet the legal requirements of the country you are invoicing from. Unfortunately, we are unable to pay any tax incurred on top of the €1,000 at this time.
