Job Code: 14607Status: Full TimeLocation: Providence Care HospitalUnion: Non UnionWage: $66,046.50 – $77,707.50Posting Period: November 9, 2024 – November 15, 2024The Research Administrative and Operations Assistant (RAOA) acts independently, with minimal supervision to provide quality and confidential administrative support to the Director and their portfolio. The RAOA will help to maintain a welcoming environment, ensure that operations run smoothly, including impact on research spaces and equipment and strategic communications on behalf of our research staff and research personnel including Principal Investigators, Research Assistants, Coordinators, visitors and participants.The RAOA plays a central role in supporting and coordinating research services and will make effective decisions related to the identification, analysis, problem-solving and distribution of presenting issues in the research department. The RAOA will be a skilled communicator able to demonstrate flexibility, efficiency and diplomacy when working with internal and external partners. This role will anticipate the needs related to meeting obligations of the portfolio, and identify outcomes, using critical thinking and detailed planning skills.Education & Experience:
- Bachelor’s degree in health related field required;
- Experience working in an administrative research environment (ie: hospital, university, college) required;
- Experience in clinical research preferred;
- Competency / education in accounting and finance are considered an asset;
- CORE certification on research is an asset;
- Minimum 2 years working in an administrative research environment
- Experience with Research Administration in Southeastern Ontario, including use of the TRAQ system, research financial management and understanding of HSREB is an asset
Position Duties & Responsibilities:
- Assists with the development/research, preparation and dissemination of reports, collecting and compiling information
- Prepares briefing notes and correspondence, researching and assessing relevant information and developing communication to the audience
- Supports the Director and portfolio leaders in the development and startup of new programs and pilot projects
- Creates flow charts, process maps and regularly updates action plans for project work in collaboration with the portfolio leaders
- Creates and tracks progress of incidents, as well as compliments and complaints utilizing wE Care and SafetE-Net software; maintains a database of serious incidents involving patients/clients (e.g. patients who have left the premises without authorization or who have not returned to the premises as expected)
- Provides Administrative support for Director of Research, including the organization and maintenance of daily calendar/schedule proactively and independently, ensuring that relevant information/documentation related to meeting discussion is brought forward in advance of scheduled meeting, important meeting materials are flagged for the Director
- Reconciles and submits cheque requisitions for travel expenses incurred during conferences, other educational activities and out-of-town meetings for the department/program staff
- Supports the development and upkeep of orientation materials for new employees and/or research staff
- Lead Research Department event organization and preparation, such as annual Research Day
- Assist in managing Lunch & Learn sessions for those at Providence Care interested or engaged in research
- Streamline opportunities that arise in all portfolio systems, and is dedicated to supporting the implementation and evaluation of those opportunities across the portfolio
- Welcome and guide visitors, participants, families and researchers to and through the Research Department
- Organizes and collaborates with departments, leads, and physicians to assist in special projects, initiatives and targeted events
