Org. Setting and Reporting
This position is located in the Finance Section, Financial Resources Management Service, Division of Administration, United Nations Office at Geneva. The incumbent will report to the Chief of a Unit/Section
Responsibilities
Within delegated authority, the Accounting Assistant will be responsible for the following duties:
- Analyses complex and/or unusual accounting transactions and difficult claims for travel, tax, invoices, entitlements etc. Makes recommendations to Chief of Unit/Section on appropriate follow-up procedures.
- Reviews and reconciles various clearing accounts to ensure appropriate balances. Investigates erroneous/invalid entries and takes appropriate corrective accounting action.
- Provides substantive support in the evaluation of workflow process and procedures; introducing new measures as required to ensure correctness of disbursement computations and adherence to relevant staff rules, financial regulations, ST/AI issuances or practices and effective and efficient operations.
- Prepares worksheets and analyze accounts. Assists in the year-end closing activities, including preparation of financial statements for various funds, e.g., general, peacekeeping, technical co-operation, trust fund, revenue and other special accounts.
- Approves payment and journal vouchers for various claims/payments, e.g., vendor invoices, travel expense reports and staff reimbursement, paymaster advances and clearing, petty cash/imprest replenishments and management, etc., ensuring compliance with relevant rules and control procedures.
- Provides substantive support, guidance and training (including the preparation of training materials) to staff (internal and clients) with respect to transaction processing and the use of various systems such as Umoja.
- Monitors and supervises the work of general service staff including overseing the achievement of the Key Performance Indicators pertaining to payments.
- Drafts/prepares memoranda and responds to queries by clients, internal and external auditors and from their counterparts in offices away from Headquarters.
- Performs other duties as may be required.
Education
- High school diploma or equivalent is required.
Job – Specific Qualification
- Relevant training or higher qualifications in accounting or related subjects is desirable.
Work Experience
- At least ten (10) years of experience in accounting, finance or related area is required. The minimum years of relevant experience is reduced to eight (8) for candidates who possess a first-level university degree or higher. At least five (5) years of experience within United Nations common system or a similar international organization is desirable. Experience with ERP systems such as Umoja (SAP) is desirable. Experience with answering audit requests is desirable.
Languages
- English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Fluency in French is desirable.
