Reports to an executive of the organization at the vice presidential level or above with responsibility for a major organization function. Performs advanced, diversified, and confidential secretarial and administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices.

  • Communicates executive’s instructions or desires to various individuals and/or departments, and furnishes and obtains information from other executives.
  • Prepares correspondences, memoranda, and reports including the consolidation and editing of weekly and/or monthly activity reports under the direction of the executive. May initiate routine correspondences and memoranda not requiring executive’s attention.
  • Schedules and maintains calendar of appointments, meetings, and travel itineraries and coordinates related arrangements.
  • Receives and screens telephone calls, letters, and/or visitors. Answers routine questions and furnishes information to save executive’s time.
  • Coordinates administrative duties including filing, processing of invoices and requisitions, monitoring and reconciling controllable expenses, time cards, expense reports, annual budgets for this expense center and all rollup expense centers, and handles advanced secretarial and administrative functions.
  • Generates and distributes reports concerning/affecting the activities of the functional areas reporting to executive including the monthly activity reports, budgets and controllable reports.
  • Operates a personal computer and appropriate software packages or its equivalent.
  • Relieves executive of some administrative detail. Within established guidelines and/or executive’s direction, makes independent decisions regarding planning, organizing, and scheduling work.
  • Performs other duties as assigned.

This position is salaried nonexempt status, which means you are eligible for overtime pay.

Qualifications:
* Able and willing to work on-site, in-person at the Valero St. Charles Refinery required.
* High School diploma or GED required.
* Eight (8) years of broad/executive secretarial experience required.
* Basic knowledge and proficiency in MS Word, Excel, PowerPoint and various other software applications (as well as ability to use the Internet) required.

Position level and salary will be commensurate with qualifications and experience.
