The Pacific Multi Country Office (MCO) covers ten countries including Federated States of Micronesia, Fiji, Kiribati, Republic of the Marshall Islands, Nauru, Palau, Solomon Islands, Tonga, Tuvalu, and Vanuatu as well as provides support to regional initiatives. The MCO is comprised of three offices, located in Fiji, the Federated States of Micronesia and Solomon Islands.

The Fiji Office in Suva is comprised of approximately 150 staff. It intends to relocate to a new building by mid-2025 and seeks a project manager to lead the relocation process.

Duties and Responsibilities
The Project Manager works under the general supervision of the Operations Manager and collaborates closely with Senior Management (Resident Representative, Deputy Representative) and Fiji operations team.

Develop office relocation timeline, project schedule and budget

  • Conduct market research of available goods and service providers, environmental factors and other factors which could impact the office move. Conduct a risk assessment.
  • Update previous estimations of the move timeline, project schedule and budget in consultation with internal and external stakeholders, taking account of the market research done.
  • Advise management and participate in the hiring process of the refit company and other necessary vendors.

Manage design, space allocation and furnishings planning of new office space

  • Plan in coordination with refit team, assigned staff, security personnel, and senior management team, the space design and refit.
  • Supervise the office design and manage the sign-off process of the design by senior management.
  • Monitor the strict adherence to design and approval timelines, particularly the design approval process by the national approving bodies.
  • Determine additional furniture needs to supplement current furniture.

Manage approved contractors engaged to undertake upgrades to new office space, including overseeing the work of contractors on-site

  • Prepare/define specifications for tenders and contracts within the UNDP procurement and financial processes and policies and analyse tender returns.
  • Act as first point of contact for the refit team and selected vendors.
  • Supervise the work of onsite contractors including sign-off on completion of work done, monitor work quality, monitor adherence to timelines by contractors and determine adjustments needed, problem solve on issues that arise on work to be done.

Procure and manage the installation of any furniture needed

  • Prepare/define specifications for procurement of furniture based on market research conducted.
  • Manage the procurement and delivery process of furniture and equipment in adherence to strict timelines.

Manage the move process from current office space to new office space

  • Plan the office move of staff, furniture and other items.
  • Plan communication and awareness schedule for staff into new space including site visits.
  • Contract and manage vendors to be used in the move process including transportation providers.
  • Supervise the move process.
  • Post-move, engage cleaners and any necessary contractors to finalize the handing back of the old office space.
  • Post-move, finalize any outstanding payments and conduct a short survey with staff to assess any ongoing issues with the new office space.

The incumbent performs any other business pertaining to the premises relocation or other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organisations.

Required Skills and Experience
Education:
  • Advanced university degree (master’s degree or equivalent) in Business Administration, Public Administration, Economics, Political Sciences, Social Sciences, or related field is required, or
  • A first-level university degree (bachelor’s degree) in the areas mentioned above in combination with an additional two years of qualifying experience will be given due consideration in lieu of the advanced university degree.
Experience:
  • Minimum 2 years (with master’s degree) or 4 years (with bachelor’s degree) of progressively responsible relevant experience at the national or international level in providing management advisory services, hands-on experience in design, monitoring and evaluation of projects, and/or leading and managing projects.
  • Experience in the use of computers, office software packages (MS Word, Excel, etc.) and web-based management systems, and advanced knowledge of spreadsheet and database packages.
  • Knowledge and experience in project management
  • Experience in working, liaising, and collaborating with UN agencies or regional/international organisations.
  • Prior work experience managing large office projects would be an advantage

Required languages:

  • Fluency in English is required (UN Language)
  • Knowledge of itaukei and or Hindi is desirable (Local Languages)

Professional Certificates:

  • Project Manager professional certification would be an advantage.
