The program

The Australia Awards Global Support Mechanism (AAGSM) is a new initiative designed to enhance the Department of Foreign Affairs and Trade’s (DFAT) international scholarship program delivery by providing operational, technical and analytical services. The AAGSM consists of the Program Support Unit (PSU) – responsible for operational and technical services to DFAT a nd the scholarship delivery network, and the Research and Analytical Support Unit (RASU) – responsible for analytical and research services for international scholarship programs. Palladium delivers the AAGSM PSU and cooperates with DFAT to ensure effective functioning with the RASU.

The role

The Business Service Officers will be integral to the success of the AAGSM PSU. As the first point of contact for stakeholders seeking assistance, you will administer a range of business support services to ensure a consistent, seamless and high-quality experience. The role involves troubleshooting and resolving various issues, providing excellent customer service and ensuring that enquiries are addressed promptly and effectively.

Drawing on strengths in client service, the Business Service Officers will take carriage of a range of services including, but not limited to, enquiry response, enquiry triaging, hel p desk support administrative interface with universities and other external partners, and support to other administrative functions in a general and surge capacity.

You will work as part of a highly experienced, solutions focused operations team, with the opportunity to develop and showcase your capability across a range of administrative and support functions.

As part of the business services team, it is a requirement that some members have NV1 security clearance, so please note if you do not have a clearance already, you may be required to obtain and maintain this clearance as part of the role.

About you

As a service-oriented administration professional, with a can-do attitude, you will bring:

  • Demonstrated work experience in high volume enquiry response and management.
  • Experience in the use and support of digital and online database systems, and a high-level of proficiency working with Microsoft Office programs, in particular MS Word and Excel.
  • Well-developed and proactive support, diagnostic, problem solving and troubleshooting competency and ability to implement solutions as appropriate. Ability to analyse problems and formulate clear and effective solutions and implement as appropriate.
  • Strong client focus. Capability to respond quickly and efficiently to client issues to meet tight deadlines and understand users’ needs.
  • Proven track record in administration and implementing office management systems and procedures.
  • Ability to work to deadlines and balance competing priorities with a high level of attention to detail and accuracy within all aspects of work.
  • Excellent communication and interpersonal skills with diverse stakeholders.
