CALDO Consortium

· Location: Remote within Canada, but with some presential meetings in different cities in Canada.

· Reports to: Executive Director

· Status: Full-time. Initial probatory period between 3 to 6 months.

· Language requirements: English and Spanish are essential; French desirable.

· Eligibility: Canadian Citizen or permanent resident; must be legally entitled to work in Canada

I. PURPOSE OF POSITION

The AC manages relevant projects and flow of information between different stakeholders at the CALDO members universities such as student admissions officers, and graduate programs, international funding agencies, and international graduate candidates.

The AC provides support and works along with the Executive Director and the CALDO team on a full range of promotional, administrative, and operational activities required to ensure the effective and efficient work of the CALDO office to facilitate the recruitment of graduate students at the CALDO member universities. The AC reports directly to the Executive Director.

II. KEY RESPONSIBILITIES

  • Communicates and supports the candidate’s inquiries about universities, programs, supervisors, scholarship details, application processes, and guidance to find out the appropriate information on the CALDO and universities websites. Tracks candidates’ progress in their application process.
  • Keeps close communication with international partner agencies in Latin America, regarding sponsored students.
  • Manages along with CALDO member universities the invoicing and payment processes for international sponsored students in close contact with international partner agencies.
  • Coordinates the administration of agreements with international partners.
  • Monitors and reviews the performance and value of international partnerships.
  • Provides timely and accurate reporting to the Executive Director on the advising services, statistics of international graduate students using the Insightly CRM, scholarships programs, benchmarking analysis, etc.
  • Participates actively in the CALDO Board of Directors meetings.
  • Participation in some recruitment and promotional events such as fairs, conferences, and presentations, in Canada and Latin American countries, where CALDO has agreements with. These events could happen once or maximum twice a year.
  • Supports the development of the CALDO website coordinating with CALDO members
  • Supports the promotional activities organized by the CALDO Secretariat and universities (online and onsite events)
  • Coordinate webinars along with CALDO universities and international stakeholders.
  • Works along with the Executive Director and other members of the CALDO team to develop and implement the CALDO strategic plan
  • Support the Executive Director in other tasks that might be needed

III. ESSENTIAL QUALIFICATIONS

1. Bachelor’s degree in education, business administration, communications, international relations/political science, or related fields

2. Significant experience (5 years +) in advising students in the higher education sector.

3. Capacity in dealing with partners and students from different cultures (Latin American)

4. Significant experience working in international markets, especially in Latin America

5. Ability to develop and keep business and political relationships with national and international stakeholders, including Global Affairs Canada, Canadian Embassies abroad, diplomatic representatives and educational institutions.

6. Strong writing skills and experience in preparing executive reports and communications.

7. Solid knowledge of Excel tables. Proficient in Microsoft Office Suite and CRM tools (Word, Excel, PowerPoint, Outlook)

8. Excellent communication skills in English and Spanish, oral and written.

9. Capacity to work in a fast-paced environment and flexible with working hours.

10. Strong ability to prioritize task and work on multiple projects simultaneously.

11. Excellent time management and problem-solving abilities

12. Autonomy

13. Demonstrated skills and experience developing and making presentations to senior executives.

14. Excellent project management skills.

IV. OTHER DESIRABLE SKILLS:

1. Experience working in an educational institution or non-for-profit environment.

2. Knowledge of French
