Position Overview:

Reporting to the Assistant Manager of Business Services, the Accounting Associate serves as the working fund custodian, handling all working fund duties, such as managing and maintaining short-term and long-term advances, reconciling the register, printing checks and batching for reimbursement from the State of Maryland and auditing working fund and petty cash funds held by the departments. The position also manages travel advances from the working fund using the in-house travel system, provides backup for the Assistant Manager with regard to the travel system, reviews reimbursement requests and addressing travel questions from the campus.

Responsibilities:

Specific responsibilities include:

  • Works with campus community departments as working fund custodian managing and maintaining short-term and long-term advances, including travel advances through the travel system
  • Utilizes QuickBooks to maintain the working fund
  • Maintains constant communication with campus departments to complete audits of petty cash funds
  • Works closely with the Travel Coordinator, offering support to the campus community related to the fully integrated in-house travel system, reviewing reimbursement requests and addressing travel questions from the campus
  • Addresses and resolves reconciling items and campus inquiries with regard to the working fund with oversight by the Assistant Manager
Required Minimum Qualifications:
  • High School diploma or GED
  • Four years accounting clerical experience. Customer service experience and/or cash handling and payment processing experience. 

Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferred Qualifications: 
  • Associate’s or Bachelor’s Degree
  • Bookkeeping experience
  • Knowledge of QuickBooks
