Accounts Payable Specialist

Billings Leadership Foundation, a privately funded 501 (c)3 non-profit, Christian ministry, is hiring an Accounts Payable Specialist to join our team. Under the general supervision of Finance Coordinator, process accounts payable, credit card reconciliations, and Payee Services. Provide accurate and timely recording of financial transactions, occasionally serve as assistant for accounts receivable and provide general financial office support.

Essential Duties and Responsibilities:

  • Process Accounts Payable.
  • Verify and record deposits into QuickBooks online.
  • Reconcile bank, credit card and other relative statements.
  • Collect, analyze, and summarize vendor account information and credit card receipts.
  • Payee Services coordination and oversight.
  • File financial records, receipts, and other documents daily.
  • Assist in preparing financial reports as needed.
  • Communicate with vendors when account issues arise to reach resolution.
  • Communicate with staff members with company credit cards in a timely fashion to obtain receipts and other necessary backup data.
  • Notify Finance Director immediately if suspicious charges are noted in credit card activity.
  • Assist with preparation and filing of property taxes, state filing and related paperwork as needed.
  • Provide support for annual audit and end of year reporting requirements.
  • Work collaboratively and effectively with departmental staff to achieve departmental goals and maintain standards.
  • Be aware of and maintain the highest level of confidentiality and discretion regarding all financial information being managed.
  • Complete other duties as assigned.


  • Majority of time is spent in front of a computer monitor.
  • Position requires moving throughout program buildings on a regular basis.
  • Ability to lift up to 40 lbs or more with assistance.
  • Ability to communicate clearly in the English language.


  • College degree in Business, Accounting, Administration, or equivalent experience preferred.
  • Experience in Business, Ministry and/or Non-Profits preferred.
  • Previous experience with Payee Services including Medicaid reimbursements preferred.
  • Experience with federal grant reporting and auditing preferred.
  • Strong proficiency in Microsoft Word, Excel, QuickBooks Online, and various database programs.
  • Must be accurate and detail oriented; possess strong organizational and time management skills; and the ability to prioritize competing priorities in a complex and fast paced environment.
  • Ability to work under pressure with tight deadlines.
  • Excellent customer service skills.
  • Experience in using data management software to manage data and files, calculate and analyze numbers, produce reports, communicate information, and produce documents and reports.
  • Valid Montana driver’s license, record acceptable to insurance carrier.
