DSP serves adults, families and youth with disabilities in a range of community-based programs and we need Admin Support to help ensure these programs run seamlessly.This is a busy role where you are responsible for a wide range of administrative duties. You are considered the communication hub of the office, connecting everyone to everything. You are a critical team resource who ensures that administrative functions of the office operate efficiently by planning and coordinating office and administrative services and providing staff and partners with current and up-to-date information.Primary AccountabilitiesYou will provide support to the Director(s) and various Program Managers by handling a variety of tasks, all the while ensuring that all interactions are positive and welcoming. A few of your key responsibilities include:
- Coordinating electronic calendars, arranging meetings within the office and in various communities.
- Coordinating office equipment and technology as well as supporting, and trouble shooting with staff as required
- Preparing cheque requisitions for payment on behalf of various projects
- Preparing various confidential correspondence across our various programs
- Responding to inquiries from the public, agencies, and departments for multiple program areas
- Maintaining accurate data and statics along with preparing statistics and reports
- Reviewing, sorting, and distributing mail
Qualifications and ExperienceYou will have a one (1) year business administration course plus a minimum of three (3) years of administrative support experience, or an equivalent combination of training and experience.You thrive in a team-oriented environment, readily stepping in to support colleagues and displaying a proactive approach. You are proficient in Microsoft programs such as Word, PowerPoint, Outlook, Excel, or equivalent office software. You’re comfortable working autonomously in a fast-paced, challenging work environment and managing tasks effectively. Demonstrating a high degree of tact and diplomacy is second nature to you. Meticulous organization is your forte and your keen eye for detail ensures nothing slips through the cracks. You demonstrate an ability to build and maintain positive working relationships and collaborate effectively.We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.EquivalencyWe recognize equivalent combinations of training, education, and experience, providing opportunities for individuals with diverse backgrounds to contribute their skills and expertise. You may occasionally be required to move/lift light objects such as office supplies, equipment, and files. You will have daily contact with the public, various Government Departments as well as other agencies.Additional InformationThis is a term employment opportunity with an anticipated end date of September 22, 2025.
