Job Description

ADMINISTRATIVE ASSISTANT 2, Comparative Media Studies/Writing-Scheller Teacher Education Program (STEP) (part-time, 20 hrs/wk.), to support a team of researchers, designers, content managers, developers, and project managers with day-to-day office support tasks for a research lab of 25+ staff and students.  Responsibilities include assisting to lab director with calendar management and travel arrangements; organizing and executing meeting logistics for lab events; act as point-of-contact for visitors; managing/maintaining lab door access for staff, students, and visitors; maintaining lab communication and related systems, e.g., email lists, Slack users, and event announcements; supporting communications manager in maintaining content for newsletter and/or lab website(s); maintaining supplies and other consumables; placing orders for recurring catering and events and handling set up/cleanup); managing equipment storage and checkout procedures; managing upkeep of shared office space, including organizing/tidying physical space and making maintenance requests; processing mail; supporting projects to process payments to external partners; supporting director of administration and finance, lab director, and other financial administrators with various financial tasks; supporting organization of teacher professional development workshops; supporting academic programs; and assisting with special projects as needed.  


Job Requirements

REQUIRED: high school diploma or its equivalent; three years’ administrative, office, or related experience; meticulous attention to detail; excellent organizational, time-management, and written and verbal communication skills; and discretion with sensitive/confidential matters.  Must be able to work independently, proactively problem-solve, and follow through on a variety of tasks; and work effectively with a diverse population of faculty, sponsors, staff, and students.  PREFERRED:  knowledge of Google Suite; relevant MIT experience, including knowledge of SAP, Cognos, Concur, and VNDLY; experience managing WordPress websites; and an interest in STEM education, educational technology and/or games, and higher education administration.  Job #22940-5

This is a temporary, one-year, part-time (20 hrs/wk.), in-person position with the possibility of renewal.

Schedule to be determined, but must include working Wednesdays.
