If your answers are yes, keep reading on!The Centralized Administrative Services unit within Treasury Board and Finance has a professional Administrative Assistant role that we are looking to fill. We are a collaborative and fast-paced team that supports multiple client groups. This is an exciting place to work with great learning experiences and room to build your professional networks.In this role you will provide administrative support to the Executive Director, including managing the Executive Director’s schedule, coordinating meetings, appointments and conference calls, preparing meeting materials and complex confidential documents such as briefings and correspondence, as well as documenting and preparing draft minutes from meetings as required.Additional responsibilities will include but not be limited to:

  • Composing, editing and formatting correspondence, reports and agendas. Reviewing correspondence leaving branch to ensure it reflects professional standards.
  • Coordinating fixed assets, accommodation, IT and other administrative requirements for the office. Assisting in organizing moves and ordering office furniture when necessary.
  • Purchasing office supplies.
  • Reconciling procurement card and invoices using 1GX.
  • Making travel arrangements (including booking air and hotel accommodations) for Executives and staff members ensuring correct approval and forms used.
  • Completing expense claims using 1GX.
  • ARTS (Action Request Tracking System) creating, assigning, distributing and tracking action requests
  • Assisting with Human Resources requirements.
  • Records Management and Information Services.

Strong skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is required. Experience with SharePoint, ARTS and 1GX is strongly preferred. Basic knowledge of government/political processes, i.e. legislative assembly, cabinet, caucus is also preferred.A related diploma in office administration is an asset, as is experience working in financial and/or legal institutions and/or with the Ministry of Treasury Board & Finance.Related experience or education may be considered as an equivalency on a one for one basis.A cover letter outlining your related experience is required and will be used to help us assess your written communication skillsNotesThis is a permanent, full-time position working 36.25 hours per week, Monday to Friday.
