The organization is hosted by the University of Alberta, BKC is supported by a five-year grant from the Government of Canada’s Strategic Science Fund Program (2024-2029).BKC is dedicated to continuing and growing the work of CMN in Reconciliation Through Research, focusing on understanding and monitoring environmental change to inform conservation, restoration, and adaptation strategies. This is all in pursuit of the shared goal: to enhance the well-being of the environment and its people.BKC is committed to continuing CMN’s efforts to cultivate trusting, authentic, reciprocal relationships and inclusive, decolonizing practices through place-based, community-driven environmental research.This commitment enables BKC to deliver and mobilize more relevant, representative research, essential for advancing Reconciliation Through Research, training the next generations of leaders, and informing federal policy and practice in CanadaPositionReporting to the Governance Manager, the Administrative assistant will provide a broad range of administrative support to BKC’s Executive Director, Governance Manager and staff of BKC while working within U of A systems, policies, procedures and requirements.This position will be the first point of contact for general inquiries related to BKC. They will perform a variety of somewhat complex activities performed within a number of standard procedures and established policies.Duties

  • Communication and Inquiries Management: Acts as the primary point of contact for general inquiries, directs specific inquiries to appropriate leaders, and drafts and proofreads routine communications.
  • Document and Materials Development: Proofreads, drafts, formats, and reviews presentations, reports, and other documents, while supporting agenda and material preparation for meetings.
  • Program Operations Support: Manages scheduling, tracks staff vacations, organizes meetings and events, coordinates travel arrangements, and assists with staff onboarding and offboarding.
  • Asset and Space Management: Manages BKC’s space and daily activities at the University of Alberta, communicates relevant facilities information, and plans office moves.
  • Document and Data Management: Maintains up-to-date filing systems, manages the Contact Management System, and ensures proper documentation retention and destruction.
  • Process Coordination and Financial Management: Initiates purchase requisitions, reconciles credit card statements, reviews transactions for accuracy and compliance, and assists with virtual and hybrid meeting logistics.

Minimum Qualifications

  • Office Administration certificate.
  • Minimum three (3) years of related administrative experience in an academic, not-for-profit or equivalent setting.

Preferred Qualifications

  • A bachelor’s degree in accounting, commerce, finance, business, and human resources would be preferred.
  • Demonstrated Skills and Abilities:
  • Strong understanding and capability of office administrative practices.
  • Strong organizational skills with a high level of accuracy and attention to detail.
  • Ability to make timely decisions and act on individual initiative in a fast-paced environment.
  • Ability to multi-task and effectively work with all stakeholder groups, dealing with tact and diplomacy.
  • Excellent verbal and written communication skills.
  • Technologically savvy with strong proficiency in MS Office Suite, Google Suite, and internet research skills.
  • The ability to assist with the logistics of virtual and hybrid meetings (access, issues with logging on, technical issues for example)
  • Strong commitment to professionalism.
