UNICEF is looking for a seasoned Administrative Assistant who will be responsible for executing a broad variety of routine tasks for the respective unit requiring full knowledge of administrative procedures, processes, and policies and will also be accountable for the exchange of routine, and less frequently non-routine, information with counterparts within UNICEF.

How can you make a difference?

Key functions, accountabilities, and related duties/tasks

Events/Logistics
  • Supports capacity development activities and conferences by making the logistical arrangements, through engaging with facilitators, caterers and hosts.
Transport Management
  • Facilitate management of transport in office, respond to booking request in UN Humanitarian hub.
  • Prepare monthly fuel and maintenance report of vehicles.
Supplies/Equipment
  • Supports management of administrative supplies, office equipment, and updating inventory of items.
  • Monitors and supervises adequate and appropriate use of supplies. Ensures that services and maintenance of premises are in accordance with organizational standards.
  • Arranges for the purchase and timely distribution of office supplies.
Premise and Facility Management:
  • Regularly inspects office buildings to identify maintenance needs.
  • Oversight on basic services and repairs of both electrical and generators across UNICEF premises.

Minimum requirements:

  • Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
     *** A first level university degree (Bachelor’s) in a related field will be considered in lieu of three (3) years of related work experience.
     ***An advanced university degree (Master’s) in a related field will be considered in lieu of five (5) years of related work experience.
  • Work Experience:
    • A minimum of 4 years of relevant administrative or clerical work experience is required.
    • Training and experience using MS Word, Excel, and PowerPoint.
    • Technical knowledge of generator and electrical maintenance.
  • Language Requirements:
    • Fluency in English and local language of the duty station is required.
    • Knowledge of the local language is an asset.

Desirables:

  • Developing country work experience and/or familiarity with emergency.

Should you be selected for a position with UNICEF, you either must be inoculated as required or receive a medical exemption from the relevant department of the UN. Otherwise, the selection will be canceled.
