The Administrative Associate reports to the Partnership Specialist (P3) in the PFP and Communications Section, in the Panama Country Office. The incumbent will work primarily with the fundraising and communication team, but also with the programme and operations sections.
 
The Panama Country Office (CO) is developing and implementing a PFP strategy that will contribute to raise the financial resources required to implement the Panama Country Programme. As Panama was and will be again a HIC, this strategy is vital for the continuity of UNICEF’s operations in the country. In addition, the engagement with the private sector (B4R) and the role of communication (from special events to social media and relations with the media) are also crucial to engage with key stakeholders and reach results for children.

How can you make a difference?

Under the general supervision and leadership of the Partnership Specialist, the Administrative Associate will assist in the implementation of the resource Mobilization and communication strategies, focusing on internal support and key back-office services to help the section and the office seize opportunities that will contribute with the advancement of child rights in Panama.

Summary of key functions/accountabilities:

Provide general support on budget and administrative issues.

• Monitors budgets and financial expenditures of section, ensuring compliance with UNICEF rules and regulations, keeping supervisor informed and advised on actions for
decision/follow up.

• Provides support on budget revision/preparation meetings, implementation status, funding utilization, operational, and financial closure.

• Prepares and maintains records, documents and control plans for the budget monitoring of project implementation.

• Prepares requests for suppliers and vendors. Contribute to the reviews of proposals and analysis of quotations. Propose to the supervisor any changes that may be required.

• Assists the section in the preparation, processing and archiving of documentation and data entry in Vision of Purchase Requisitions and Sales Orders.

• Following UNICEF & office procedures, maintains section inventory both digital and physical.

• Coordinates travel arrangements for members of the section; prepare the necessary documentation for travels and meetings.

• Assist the supervisor in the follow up of the PFP & Comms workplan implementation.

Support the implementation of the UNICEF PFP and communication strategy

• Provides technical support in the designing and production of documents and materials essential for the implementation of the communication and advocacy strategy of UNICEF Panama, as required.

• Supports the production of communication and fundraising products and materials for different audiences.

Support in organization of events and section activities.

• Provides logistical and technical support to the UNICEF Panama office during public and internal activities such as workshops, events, meetings, as required.

• Ensure that the CO contact list of PFP and communication individuals, groups, or organizations are up-to-date

• Assist in preparing communication materials for advocacy events according to audience and relevant for UNICEF

• Follow up on the agreements established in the advocacy plan when required.

• Coordinate and organize the purchase of supplies for special activities for the section.

Support data & information management

• Collect, update, distribute, organize and file relevant data & information timely and accurately.

• Manage emails and telephone messages from donors, providers and consultants.

• Monitor information requests against deadlines.

To qualify as an advocate for every child you will have…

Education:

  • Completion of Secondary School. Technical and/or University level courses in marketing, publicity, communication, business administration, or any other related field of discipline relevant to the job are an asset.

Work Experience:

  • 6 years of progressively responsible work experience in administration, communication or direct marketing agencies and fundraising areas.

 Language Proficiency

  • Fluency in Spanish and English is required. Knowledge of another official UN language (Arabic, Chinese, French, or Russian) is an asset.
