About the Role: 

The Administrative Coordinator, Computer Science will provide administrative, organizational, reception, and budget support for the Computer Science department. 

As the Administrative Coordinator, Computer Science you will: 

  • Respond to queries via telephone, mail, email and in person, and refer to applicable resources;
  • Process requests from other Brock departments to forward information via e-mail to department members, grad students, post docs, etc.;
  • Provide administrative support to the Chair, departmental faculty and staff;
  • Initiate and coordinate collection of course information from Chair;
  • Initiate, coordinate, and assist the chair in the input of calendar changes for both undergraduate, graduate, and minor program changes for Computer science programs;
  • Liaise with Registrar’s Office regarding deadlines for course composition forms, examination information, examinations, and calendar submissions; final examination papers and grade submissions; proctors for final examinations; courses to be subject to automatic deregistration; and individuals with signing authority in Department;
  • Coordinate faculty searches including setup of files, monitor application process involving acknowledging applicants, requesting missing referee letters and acknowledging same, preparation of interview itineraries and coordination of such with other members of Brock community; arrange hotel and travel arrangements;
  • Organize and process course and instructor evaluations, and organize instructor preferences for online or in-person course/instructor evaluations using CPI’s online system;
  • Organize and process job postings and contracts for Teaching Assistants, Marker/Graders, Course Coordinators, etc.
  • Ensure that main office equipment is in proper working order, arrange for repairs, order supplies, and offer assistance to users;
  • Coordinate and attend departmental meetings, take minutes, and circulate minutes to appropriate parties after meetings;
  • Process expense claims and contracts in Workday (Finance and HR);
  • Prepare financial transactions such as purchase orders, cheque requisitions, deposits, transfers, and wire payments; and
  • All other related duties as required and/or assigned by the Chair, Department of Computer Science.

Key Skills and Experience: 

  • Post-secondary courses including computer applications, office administration, or related courses or the equivalent combination of education and experience;
  • Minimum two years of experience with reception and administrative support experience, preferably in a University environment;
  • Solid computer competency including word processing, spreadsheet, database, Workday (Finance and HR), Adaptive Planning system, DB BROCK, Brock Portal, Power BI, web applications and web maintenance, social media, internet search engines, graphics, and scheduling software;
  • Ability to maintain accurate records, including financial record keeping;
  • Excellent oral and written communication, listening and comprehension skills;
  • Superior interpersonal skills including tact, discretion, and confidentiality;
  • Strong customer service skills, including the ability to interact with persons from diverse backgrounds;
  • Ability to work independently in a supportive and collaborative manner, and as part of a team;
  • Ability to multi-task and prioritize work projects and work flow;
  • Strong initiative and ability to function as a self-starter; and
  • Flexible and adaptable with high energy and ability to deal with a changing work environment.

Salary and Total Rewards: 

  • OSSTF, Job Grade I, Salary Scale ($43,701-$60,621)*
  • This position includes full comprehensive benefits and tuition waiver.
  • This position is included in the Ontario Secondary School Teachers Federation (OSSTF) Union and:
  • Salary is therefore determined by the OSSTF Collective agreement.
  • New members shall be placed on the salary grid at the entry level.
