Laurier’s Centre for Indigegogy is one example of how Laurier honours Indigenous knowledge.Position SummaryReporting to the Assistant Registrar, Admissions, the Admissions Coordinator II (ACII) works as a member of the Recruitment and Admissions team to ensure the enrolment goals of the University are met. The Recruitment and Admissions team, as a part of the larger Enrolment Services team, will implement strategic plans to advance the position of Wilfrid Laurier University nationally and internationally as a destination for high caliber students.This position works with the Senior Admissions Coordinator and is required to oversee and maintain a high standard of selection and is obliged to adjudicate in a consistent and equitable manner. The incumbent plays a key role by ensuring priorities are set and the group meets its deadlines.The incumbent will have direct contact with applicants, their parents/guardians, secondary school officials, agents and the Ontario Universities’ Application Centre (OUAC). In this high-pressure, high-volume environment the incumbent will provide exceptional service via email, phone, and in person with these Important groups to ensure information needed to make key decisions is provided promptly and with an engaging personal touch.This position is very fast paced due to the high volume of requests. As a result, the incumbent will be required to process admission files in a very timely and accurate manner, on occasion working with other coordinators.Recruitment and Admissions is a team-based multi-campus environment and the Admissions Coordinator is a key contributor to the overall objectives of this department. As part of the Recruitment and Admissions team, this position has an overall understanding of the other team members’ activities and will assist other members when required. The incumbent must demonstrate highly developed organizational skills and be able to work well independently with highly confidential and sensitive information. The Coordinator also works with a broad range of internal individuals including current students, staff, faculty, and student employees.This position has a University-wide mandate and is based at the Waterloo Campus. The incumbent provides subject matter expertise to all campuses, requiring regular interactions and collaboration with departments at the Waterloo Campus, the Brantford Campus, the Kitchener campus, the Toronto office and external partners. Special attention is given to ensure equitable service delivery across all locations.This position focuses on admission decisions; customer service, admissions counselling and recruitment; knowledge and training as well as data collection/reporting/committee support.AccountabilitiesAdmission Decisions

  • Adjudicates OR presents and prepares special cases to the Admissions Committee for review. In cases of adverse decisions, the incumbent provides to the applicant an explanation and/or recommendation for alternative action;
  • Researches, evaluates and applies pertinent criteria of national, international and trans-national educational programs and systems to ensure admission requirements or equivalencies are met;
  • Adjudicates, within internally and externally determined deadlines and in a dynamic environment, a high volume of applications in a fair and consistent manner, adhering to established policies as set out by Senate, the Admissions Committee and the Assistant Registrar, Admissions;
  • Determines when it is appropriate and necessary to deviate from policy; on behalf of the Faculty, acts independently in determining alternative solutions, taking only unusual or difficult cases forward to the Assistant Registrar, Admissions or Admissions Committee;
  • Applies knowledge and understanding of Admissions Committee and Senate policy to influence and maintain fair and equitable practices;

Customer service, admissions counselling and recruitment

  • Evaluates diverse candidates’ personal, educational and work background together with educational/career goals and objectives and based on these criteria provides counselling as to the appropriate recommendations and alternatives;
  • Required to evaluate and process admission applications quickly and accurately due to the volume of applications;
  • Communicates and elaborates on positive and adverse admission decisions and is responsible for the arbitration and/or facilitation of appeals and manages conflict resolution which can involve diffusing inherently volatile situations;
  • Required to deal with angry and upset individuals as a result of negative admission decisions; must be empathetic while at the same time upholding the decision; responsible for counselling applicants on alternative options;
  • Participates in recruitment events as required such as the Ontario Universities’ Fair, on-campus open houses and fair-style high school events.

Knowledge and training

  • Requires knowledge of current education systems in Ontario, out-of-province and internationally to ensure equity in the evaluation of all applicants;
  • Requires awareness of alternate solutions for the applicant (i.e. upgrading, appropriate course of action to realize career goals, etc.) and must be able to articulate those solutions;
  • Requires ongoing research (publications, reference texts, web-based, colleagues at other institutions, attending professional conferences) to stay abreast of changes and challenges to education systems;
  • Prepares and delivers training in admissions to various stakeholders on campus

Data Collection/Reporting/Committee Support

  • Provides statistical and other data to the Admissions Committee and/or Strategic Enrollment Management group as requested, and provides research and recommends changes to policy as necessary;
  • Prepares files and background information for special case & special needs applicants, and presents to the Admissions Committee using skills of persuasion; and communicates decision and, if necessary, options/alternatives to the applicant;
  • Participates in special research projects as required (i.e. tracking how Ontario Secondary School international students are progressing, and if current admission criteria support success);
  • Acts as a liaison between the Recruitment and Admissions office and faculty as needed; provides updates to the team regarding the faculty and implications for the work of the office

Qualifications

  • University Degree
  • Minimum 2 years working in an admissions related capacity with at least 2 years adjudication experience
  • Knowledge of the Ontario university system, admissions criteria, and university programs; familiarity with the Ontario secondary school system, out-of-province and international education systems desirable;
  • Proven ability to analyze and interpret inquiries and explain complex academic regulations, program requirements and adjudication decisions courteously and effectively in a clear and concise manner with tact, discretion, compassion and firmness as required, both written and verbal;
  • Proven ability to interpret and apply academic policies and other tools to assess applicant files
  • Proven ability to assess admission requests in a very timely and accurate manner due to the high volume of application requests;
  • Proven ability to research topics and write reports; attend accurately to detail;
  • Ability to interact clearly, concisely and persuasively, both verbally and in writing, with a variety of university personnel and community, including faculty, staff, students and external clients;
  • Excellent interpersonal and public relations skills and sensitivity to cultural issues is essential;
  • Proven ability to handle highly sensitive and confidential material and remain focused in a high volume, high stress environment; coordinate a multitude of priorities and tasks;
  • Must exercise good judgement and initiative with superior problem solving skills;
  • Public speaking skills an asset;
  • Excellent computer skills including knowledge of appropriate software programs (i.e., Word, WordPerfect, Excel, Access). Knowledge of Banner, COGNOS and updating websites is an asset;

This position has been deemed eligible for educational equivalencies. Please refer to the attached for details.Hours of Work: This is a full time continuing position. The normal hours of work are 8:30 am to 4:30 pm, Monday to Friday. Flexibility in hours will be required, including evening and/or weekend work due to Open House events, Ontario Universities Fair, or other R&A related events. When possible, the manager will adjust the work schedule so that no more than 35 hours are worked in a week.This position is eligible for a hybrid work arrangement, as per In-person attendance for events, as required to meet operational needs, is expected.
