Job Description

The Alumni Events and Volunteer Coordinator is an exciting role, supporting the strategic priorities of the university by engaging alumni through a portfolio of events and meaningful volunteer opportunities.  

For almost 200 years King’s College London has been working to make the world a better place. The Fundraising & Supporter Development Office has been integral to achieving the university’s ambitious goals and mission.  

Reporting to the Senior Alumni Manager (London), and working closely with colleagues across fundraising, communications, and the wider university, you will build meaningful relationships with King’s alumni, ensuring positive interactions as life-long members of the King’s global alumni community. Overseeing a portfolio of events, webinars and volunteer opportunities, the Alumni Events and Volunteer Coordinator leads on initiatives such as delivery of the King’s Expert Series webinars, arranging the King’s Connect Mentor-Meetup events, and organising the King’s Distinguished Alumni Awards ceremony.

This is a full-time post – 100% full time equivalent**.**

Key responsibilities

Delivery of Alumni Events  

• Plan, deliver and evaluate events and programming for mass alumni engagement, analysing alumni data and feedback to guide activity, ensuring progress towards engagement KPIs. 
• Identify and work closely with stakeholders including senior academic staff, suppliers, student workers and teams across Fundraising & Supporter Development to deliver events.
• Manage allocated budget, rigorously monitoring return on investment, ensuring all activity is delivered within budget.
• Working with the Senior Alumni Manager (London) to support the London Leadership engagement programme, particularly through event delivery.

Support the Alumni Volunteer Programme

• Working with the Alumni Volunteer Manager to support the Alumni Mentoring Programme activity; identifying and cultivating alumni volunteers through events to achieve high retention rates and future engagement.

Strategy and Planning

• Contribute to the development of the Alumni Team strategy and annual plans as the Alumni Team Alumni Donor Audience lead. 
• Create a proposal and de-brief for each project including objectives, analysis of insights, data and recommendations for the future.  
• Identify and utilise insights from the sector and other industries and sectors when developing engagement programmes.

Culture and Networking

• Build and maintain strong relationships with alumni, academics, and other key departments across the university to build awareness of alumni programming.
• Develop strong internal relationships with key members of the Fundraising and Supporter Development department, working closely with Fundraising, Communications, Research and Data to ensure activities are delivered in line with long-term strategic priorities. 

Teamwork and Learning Support

• Attend training courses and workshops as part of personal and professional development.  
• Share insights with the team and effectively record information to be used in all relevant projects across the department.
• Be a supportive team member, contributing to different project portfolios as needed.
• Undertake any other duties as directed by the Senior Alumni Manager (London) and Head of Alumni Relations.  
• Ability and willingness to attend events outside normal working hours.

Skills, knowledge, and experience

Essential criteria

Good standard of education

Excellent written and verbal communication skills 

Computer literate (Word, Outlook, Excel)

Ability to think critically and analyse data and audience feedback to modify activity

Strong organisational skills and attention to detail  

An interest in events, volunteering and fundraising in a higher education context

Event, volunteer or project management experience 

Exceptional interpersonal skills with the ability to interact with individuals at all levels 

Ability and willingness to adapt to changing workloads and priorities 

Team player attitude with a willingness to step in to support others where needed 

Desirable criteria  

Educated to degree level or equivalent

Experience of working in higher education and/or alumni relations, membership organisation or charities

Knowledge of digital events tools such as webinars and/or online community platforms

Proven track record of building and maintaining relationships with a variety of stakeholders from diverse backgrounds 

Ability to track expenditures within budgets

Fundraising and Supporter Development (F&SD) is an integrated department that provides a single fundraising and supporter engagement function in support of King’s College London, Guy’s and St Thomas’ NHS Foundation Trust and for King’s Health Partners. In doing so, we work closely with and on behalf of the Guy’s and St Thomas’ Foundation, as well as the Maudsley Charity.
