BASIC FUNCTION:
Under the general supervision of the Senior Associate Director, Registrar, assist with the day-to-day management and oversight of the University Catalog interface with Kuali and SIS system (PeopleSoft). Work closely with the Senior Associate Director, Registrar to design and implement effective and efficient catalog maintenance and update processes as needed.
Duties and ResponsibilitiesESSENTIAL DUTIES AND RESPONSIBILITIES:
Serve as primary contact for creating, maintaining, and updating the undergraduate and graduate catalog. Communicate with catalog coordinators, academic departments, deans’ offices, administrative units to ensure timely and accurate updates to the catalog.
Update and maintain all modules related to the course catalog in Kuali and SIS system (PeopleSoft), including direct updates to both systems as needed to maintain consistency.
Ensure that all catalog and curricular updates adhere to relevant university policies, guidelines, and by-laws. This includes accessing detailed curriculum proposal documentation regarding curriculum changes, to verify approvals as needed.
Provide front line support to the university curriculum community as well as participate in the development of Registrar’s back-office business processes as they relate to the courses, curriculum, and catalog.
Provide technical and administrative support to members of the Registrar’s Office and the university at large to facilitate the maintenance of the university catalog.
Review and set-up of course prerequisites in e-Campus to ensure consistency with published course descriptions.
Facilitate the annual review of courses not taught in 2yr-4yr and removal of designated courses from the published catalog.
Creation/maintenance of elective courses in e-campus in support of transfer credit evaluations.
Participate in special projects which may be short- or long-term and which require both technical understanding and a broad knowledge of Registrar functionality.
OTHER DUTIES AND RESPONSIBILITIES:
Serve as a member of the Enrollment Services’ Management Team.
As necessary, meet with various campus groups, including ad hoc task force groups (the Faculty Senate, parents, and students.)
Serve on University committees as appropriate.
Perform additional duties as required to meet the mission of the Office.
LICENSES, TOOLS, AND EQUIPMENT:
Personal computers, printers, word processing, and spreadsheet software.
Required QualificationsREQUIRED:
1. Bachelor’s degree.
2. Minimum of three years of progressively responsible experience in general enrollment services administration.
3. Minimum of two years of combined Registrar/student records/curriculum office experience.
4. Demonstrated supervisory experience.
5. Demonstrated organizational and analytical skills.
6. Demonstrated strong interpersonal and verbal communication skills.
7. Demonstrated proficiency in written communication skills.
8. Demonstrated ability to build professional relationships with students, faculty and staff.
9. Demonstrated ability to provide student and faculty-centered services in a university environment.
10. Demonstrated ability to plan and implement technological change.
11. Demonstrated computer systems experience (including problem resolution).
12. Demonstrated ability to interpret institutional policies, plans, objectives, rules and regulations and to communicate the interpretation to others.
13. Demonstrated ability to prepare and present detailed studies and reports including recommendations concerning the substance of the studies and reports.
14. Demonstrated ability to work with diverse groups/populations.
Preferred QualificationsPREFERRED:
1. Master’s degree.
2. Minimum of three years of management-level Registrar/Student Records office experience.
3. Minimum of three years of progressively responsible experience in general enrollment services administration at a research university.
4. Demonstrated experience with PeopleSoft.
