The Registrar’s Office staff are committed to strong service excellence in supporting the academic and registrarial needs of current undergraduate, graduate and professional master’s students. These services include advising and administration as it relates to registration, financial need, scholarships & awards, and graduation. In addition, the

Registrar’s Office is responsible for recruitment and admissions of prospective students, administration of experiential learning opportunities (international, research, in-field learning courses), scheduling of academic courses and exams and providing faculty support. The staff inthe Office work collectively toward enhancing the student experience while being committed to operating under principles of equity, diversity and inclusion.

Your opportunity:

The Assistant Registrar, GraduatePrograms is an integral member of a team of administrative and student services professionals who work together to achieve excellent services in the Faculty of Kinesiology & Physical Education. Reporting to the Registrar & Director of Student Services, the Assistant Registrar, Graduate Programs acts as the main point of contact for prospective students regarding admission requirements, program information and the coordination of the admissions process. The incumbent is responsible for overseeing the progress of all admitted graduate students through their programs, up to and including the granting of degrees, program termination and withdrawal, and ensuring that all Faculty and School of Graduate Studies requirements are met. The Assistant Registrar, Graduate programs oversees the administration of the Master in Professional Kinesiology program, providing exceptional registrarial and student services support to both students and faculty. The Assistant Registrar, Graduate Programs is responsible for coordinating all graduate awards processes and competitions, graduate student funding, student registration, petitions & appeals, programs of study, project/thesis requirements, overall degree requirements and eligibility to graduate. Working in collaboration with other members of the Registrar’s Office, participates in recruitment initiatives to attract the best possible candidates for the program. The incumbent acts as the resource person for students, faculty, staff, other institutions, and the publicat large on graduate program matters, and is the Faculty liaison with SGS. The incumbent organizes new graduate student orientation activities, participates in department and Faculty special events and develops new initiatives which enhance the graduate student experience.

Your responsibilities will include:

  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual’s background
  • Conducting detailed analysis on program efficiency and student learning outcomes to inform program planning activities
  • Coordinating activities related to the preparation of annual graduate funding packages
  • Promoting programs at recruitment events
  • Analyzing, scoring and ranking incoming applications, providing detailed information regarding admission requirements to prospective students and applicants
  • Providingdetailed explanations of admissions decisions
  • Preparing draft statistical reports and summaries from data collected, designing and optimizing databases, handling sensitive and/or confidential information
  • Directing the activities of a group of staff-appointed employees all performing a similar function

Essential Qualifications:

  • Bachelor’s Degree or acceptable combination of equivalent experience.
  • Minimum five years of related experiencein an academic student services environment in a university setting at the graduate studies level
  • Experience applying and interpreting related academic policies and procedures.
  • Experience in successfully planning and coordinating events.
  • Experience working in student services and providing support to students
  • Superior oral and written communication skills as well as excellent presentation skills
  • Strong interpersonal skills and relationship building skills
  • Excellent organizational and time management skills and ability to manage competing priorities/deadlines
  • Strong computer skills, including proficiency with Microsoft programs (Outlook, Word, PowerPoint, Excel).
  • Ability to interact with faculty, students and professional colleagues in a tactful, professional and diplomatic manner.
  • Demonstrated ability to meet different deadlines and manage competing priorities
  • Demonstrated knowledge of ROSI/ACORN and Degree Explorer.
  • Excellent database management skills.
  • High level accuracy and attention to detail

Pay Scale Group & Hiring Zone:

USW Pay Band 13 — $84,813. with an annual step progression to a maximum of $108,463. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
