BASIC FUNCTION:
Responsible for assisting in financial, operational, and personnel matters pertaining to administration of the offices reporting to the Associate Vice President for Enrollment Management and Student Success.
Execute the budgetary and financial functions of Summer Sessions, Winter J Term, URI Online (URIO) and Office of Strategic Initiatives (OSI). Advise and support the Executive Directors in the appropriate use and generation of departmental resources. Work collaboratively with departmental staff to establish business procedures for the departments and oversee their implementation in collaborations across the University as needed. Promote and assist in ensuring adherence to federal, state, and institutional policies and procedures by departmental staff. Be responsible for accounting, budgeting, financial planning, and projections, oversight of grants, and contracts from a financial perspective, and in collaboration with the central administration, budget control and monitoring all sources of funds.
Duties and ResponsibilitiesESSENTIAL DUTIES AND RESPONSIBILITIES:
Coordinate financial matters pertaining to the administration of the departments reporting to the Associate Vice President for Enrollment Management and Student Success with other appropriate University departments and with the RI Office of the Postsecondary Commissioner. Assist the Executive Directors reporting to the Associate Vice President in the development and management of department budgets, and in office procurement and office management.
Receive, file, and review all financial status reports as required. Research and compile information and make recommendations required for use in impact statements and analyses, presentations, meetings, and decision making. Prepare and report project budgets, business plans, and cash flow analysis using computer-based financial models. Forecast long-term trends and update projections after consultation with the Executive Directors and Associate Vice President as needed.
Assemble necessary information and assist in the preparation of annual budgetary requirements for the departments that report to the Associate Vice President. Compile budget and personnel data spreadsheets for use by superiors in their analyses for the Budget Request, Budget Allocation, Mid-Year Review, Year-End Analysis, and grant reports. Provide monthly briefings of accounting and financial status to the Associate Vice President and Executive Directors.
Reconcile budget and accounting records of various chartfield strings to ensure proper utilization of allocated budget funds. Serve as assistant to the Associate Vice President and all departmental leaders for various reports & ad hoc projects.
Draft complex budget documents and correspondence for the Associate Vice President and departmental leaders.
Assist in the preparation of grant requests and securing outside funding. Support principal investigators (PIs), faculty, administrators, and other staff in generating and managing general revenue and external funding. Provide related research administrative and financial training to department administrators, PIs, and support staff.
Assist in developing service contracts and managing routine purchases, as well as coordinating blanket order requirements and maintaining status of same for units. Prepare contracts for various services.
Assist in the preparation of personnel forms, payroll operations, appointment of graduate students and student help, tracking personnel forms, and relaying of information regarding University policies to the staff of the offices reporting to the Associate Vice President.
Assist in purchasing, inventory control, accounts receivable, petty cash, p- cards, cash and check deposits, credit card receipts, payroll, revenue and expenditure tracking and reconciliation, as well as for developing and managing all related records.
Prepare Power Point presentations and other reports using spreadsheet software, particularly Excel. Assist with compiling data for these and other presentations.
Responsible for obtaining information and recommendations relating to specific problems, activities, or policies.
May supervise administrative support staff and student workers, as needed. Oversee the preparation and processing of both routine and important/complex correspondence. Ensure the delivery of efficient administrative support, and the timely and cost-effective use of administrative and financial systems.
Handle information of a sensitive and confidential nature. Serve as the Associate Vice President’s and Executive Directors’ designated signatory for financial and personnel documents where appropriate.
Monitor bad debt for OSI and URIO. Prepare reports of bad debt as needed.
Assist in the hiring process for all Summer Sessions, Winter J Term, URIO, and OSI courses and programs.
Work with Dean’s offices, academic units, and other departments to ensure adherence to summer recontracting limits and policies in all Summer Sessions, Winter J Term, URIO, and OSI hiring.

LICENSES, TOOLS, AND EQUIPMENT:

Required QualificationsREQUIRED:
1. Bachelor’s degree in accounting or other business/finance-related field.
2. Minimum five years of progressively responsible experience in business management, budgeting, and/or budget tracking.
3. Demonstrated experience with business tracking systems and preparation of year end reports.
4. Demonstrated experience using Microsoft, Excel, Word, and Access or similar database.
5. Demonstrated experience working with and/or managing grant funding.
6. Demonstrated experience managing personnel budgeting and processes.
7. Demonstrated experience with financial and human resource systems (e.g., Oracle, Workday).
8. Demonstrated experience with budget request and allocation processes.
9. Demonstrated strong verbal and interpersonal communication skills.
10. Demonstrated proficiency in written communication skills.
11. Demonstrated ability to work with diverse groups/populations.
Preferred QualificationsPREFERRED:
1. Master’s degree in accounting or other business/finance-related field.
2. Demonstrated supervisory experience.
3. Demonstrated experience in a university environment.
