The Business Process Specialist position will be responsible for providing research and analysis in support of all Corporate Support Services programs. This includes the data administration of facilities condition assessment data, data reporting of program performance indicators, supply chain bar coding data, analytics of space utilization through Robin Powered solution and analysis as required. Few of the responsibilities include locating data trends or patterns and make business recommendations on process improvements and support Facilities Management, Planning & Project Development, Supply Chain, Fleet, and Security reports and processes.

Work Schedule:

  • This position is categorized as Essential Personnel with the City of Austin.

  • Essential staff are required to work during emergencies or bad weather if they are scheduled to work and, in some cases, when they are not scheduled. Essential employees ensure the continuance of key operations for the City of Austin.

  • Work hours may include after hours, holidays, and weekends and may include on-call shifts.

  • Shifts may change according to departmental needs.

  • Employee may be required to work additional hours outside of regular work schedule.

    Pay Range

$28.85 – $36.06

Hours

Monday – Friday; 8:00 a.m. to 5:00 p.m.

Telework opportunities may be available after an initial training period. Work schedules must be at least 50% hybrid in the office within a two (2) week period and are implemented to meet the requirements of the department and are subject to change based on business needs.

Hours may vary depending on work demands and business needs.

  • Proven high level of organizational skills with the ability to plan for and meet multiple deadlines, follow-up on action items, develops and maintains client department needs.

  • Demonstrated experience in managing projects, organizing, leading and facilitating cross-functional groups with participants from all levels of the organization.

  • Problem solving skills to provide process improvement analysis and recommendations for department processes and projects.

  • Experience evaluating performance measures to be sure that critical work processes are operating effectively and recommending and implementing process changes.

  • Ability to handle multiple projects and adjust work accordingly to meet delivery timelines commensurate with degree of financial risk and impacts involved.

  • Experience in developing and editing presentations and facilitating cross-functional meetings.

  • Experience communicating effectively and professionally with the public, and provide excellent customer service.

  • Advanced proficiency with Microsoft Excel

  • Ability to travel to more than one work location

    Duties, Functions and Responsibilities

    Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.

  • Assists in planning, executing and closing projects in a variety of operational and/or administrative situations related to specific assignments/areas.

  • Develops and maintains databases to support data analysis and research findings for business projects.

  • Assists in preparation of recommendations for implementation of new or revised policies, procedures, and/or process changes/improvements.

  • Write reports that summarize findings, data collection techniques, implementation options, etc.

  • Establishes project schedules using project planning software/tools, updates and maintains project status reports. Communicate project/process status.

  • Conduct research, analyze trends, determine accuracy and relevancy of data/information, and use sounds judgment to evaluate alternatives.

  • Facilitates and documents meetings, action items, and processes using flowcharting methodologies.

  • Maintains positive working relationships with managers, supervisors, employees and other stakeholders to gain their cooperation and support.

  • Skill in oral and written communication using a variety of formats including: print communication, electronic format, presentations and telephonic
