We encourage student development and educate Mount Royal University about becoming a more accessible, equitable and inclusive learning environment.About the RoleThe Accommodated Exam Facilitator (AEF) is accountable for accurately processing a high number of accommodated exams, and maintaining the integrity of exams while communicating effectively with the Exam Scheduler, other Access and Inclusion staff, students, and faculty. The AEF contributes to the facilitation of accommodated exam writing while ensuring exam integrity. The AEF must be familiar with the diversity of exam accommodations and understand the types of accommodations in place for students. The AEF will be responsible for the facilitation of midterm exams (including tests and quizzes) and will lead and assist faculty with the facilitation of accommodated final exams. The increasing volume of students registered with Access and Inclusion Services informs the increased volume of accommodated exams and the increased complexity and details of the accommodated exams. The AEF must have the ability to manage multiple responsibilities at once, switching between tasks and effectively performing different tasks rapidly one right after the other with numerous interruptions.The incumbent must be familiar with how to adjust incorrect requests made by the students in the exam database to ensure exam integrity. The incumbent must be familiar with the variety of assistive technology used by students during their accommodated exams so they are able to troubleshoot any issues and ensure appropriate accommodations are in place. The incumbent must be familiar with and have technological knowledge of a variety of specialized databases used in Access and Inclusion Services. The incumbent is responsible for understanding and supporting multiple roles in the Accommodated Exam Centre. The incumbent must maintain a welcoming, friendly attitude while using high-level thinking, problem-solving and independent decision-making skills to determine stakeholders’ needs. The incumbent must deal confidently and confidentially with a diverse clientele. The incumbent must have experience with disability-related barriers and be able to maintain a standard of excellence with a high degree of empathy including if/when a student is stressed or in crisis. Additionally, knowledge of Alberta Human Rights legislation and the University’s legal duty to accommodate is required. This casual position requires flexible availability between the hours of 3:30 PM – 7:30 PM during the Fall and Winter semesters.ResponsibilitiesResponsibility 1 (85%): Facilitation, processing, packaging, and securing of all assessments written in the Accommodated Exam Centre or satellite locations.

  • Maintain a clean and secure exam facilitation environment (including secure storage for exams)
  • Accurately prioritize and process an extremely high volume of exams and/or assessments received from faculty
  • Receive, review, print, package and label all electronic and hard copies of exams provided by professors for ALL exam bookings in a timely and efficient manner
  • Ensure that each student’s accommodations are in place and that students are in the right seat with the right accommodations on the right day and time of the exam
  • Review exam booking details and follow procedures to ensure invigilators and students are informed of any exceptions and all accommodation details for all exam bookings
  • Ensure students receive appropriate exam accommodations by carefully analyzing each individual request
  • Manage multiple responsibilities at once with numerous interruptions while receiving and processing exams/assessments
  • Monitor the Exam Facilitator Inbox, reading, responding and looking after all associated tasks in a timely manner
  • Ensure secure disposal of any residual electronic and paper copies of exams in the exam writing area
  • Report all exam discrepancies and concerns in a timely and efficient manner
  • Knowledge of required accommodations; familiarity with the variety of assistive technology used by students writing exams in the Accommodated Exam Centre or other satellite locations
  • Partner with the Assistive Technology Advisor to ensure the proper assistive technology is available on the day and time of the exam/assessment
  • Prepare, secure, and upload all text-to-speech files needed by students
  • Maintain and update all relevant procedure manuals

Responsibility 2 (10%): Collaborate regularly with the Accommodated Exam Scheduler.

  • Accurately communicate accommodated examination errors, changes, concerns and updates
  • Communicate appropriate changes of exam bookings to the Exam Scheduler
  • Assist in maintaining the Exam Book
  • Confirm the reception of exams/assessments so the master list can be created
  • Collaborate with the Scheduler to ensure the Exam Book is accurate

Responsibility 3 (5%): Crosstrain to be able to cover Administrative Assistant front desk responsibilities.

  • Maintain the reputation of Access and Inclusion Services as an accessible, equitable, inclusive, friendly, and helpful service area with a high standard of service.
  • Provide information to community members with respect to the processes and procedures of Access and Inclusion Services
  • Maintain an up-to-date knowledge of Access and Inclusion Service’s processes and procedures, client management system, exam monitoring system, and Mount Royal University’s policies to respond to the variety of questions posed by community members
  • Liaise between students, and Mount Royal staff and faculty to maintain Mount Royal’s legal duty to accommodate
  • Monitor the main Access and Inclusion inbox and respond to all relevant and time-sensitive emails

Other duties as assigned.QualificationsEducation and Training:

  • Three or four year Bachelor’s degree or equivalent
  • Experience working with adult learners is an asset
  • Strong interpersonal, communication, customer service, reading and writing skills
  • Experience using a client management system
  • Ability to effectively multitask, work under time pressures, and meet deadlines while maintaining confidentiality
  • Highly organized with an eye for accuracy and detail
  • Experience working on repetitive tasks for extended periods of time
  • Able to handle a high level of activity and disruptions while completing detail-oriented tasks
  • Advanced critical thinking, analyzing and problem solving as well as decision-making competencies
  • Experience working daily on a computer and using multiple platforms or software
  • Flexible and willing to work on an on-call basis
