PURPOSE OF THE POSITION:The Health Services Coordinator is accountable to organize and coordinate all administrative processes related to HS Programs such as the Employment Program, Periodic Medical Assessment Program, and medical monitoring under the Fitness to Work Medical Policy and Procedure. The Coordinator provides support to the Health Services department including the Occupational Health Nurses, and other Health Services team members. The Coordinator may be involved with processing invoices, electronic and paper document management including scanning and indexing using a metadata application and coordination of medical assessments. The position is accountable to ensure consistent and accurate maintenance of confidential information and the efficient implementation of administrative support process.POSITION ACCOUNTABILITIES:
- Provides timely and responsive customer service to administrative enquiries and processes relating to the Fitness to Work Policy and Procedure, the Periodic Medical Program, Employment Program, Medical Monitoring and any other Health Services processes from managers, supervisors, HR, employees and Health Care Providers
- Accountable to ensure consistent and accurate compilation, maintenance and confidentiality of all electronic and hard copy occupational health information received within Health Services and reconciles invoices for integrity and accuracy as per internal financial policies and procedures
- The Coordinator Position coordinates, prepares, and tracks Health Services program documentation and medical follow up information
- The position ensures accurate records and data entry is maintained in the Health Services systems of records for occupational health information within established Health Services protocols and to ensure regulatory compliance
- Scans and indexes medical documents with appropriate metadata, for the electronic data management system, with the highest level of accuracy possible in accordance with established protocols
- Collaborate with internal/external stakeholders to ensure effective and timely correspondence. Troubleshoot and resolve any administrative process or service issues identified and direct escalations to the Manager, Health Services Programs
- Respond to written and verbal inquiries in writing or by telephone, and prepare correspondence in a variety of formats (i.e. file notes, letters and reports) for employees, treatment provider, etc
POSITION REQUIREMENTS:
- High School Diploma
- Medical Office Administration certification is an asset
- Up to 2 years’ experience in medical office administrative / clerical duties
- Ability to work collaboratively with multidisciplinary teams to effectively manage the safe and timely return to work of injured or ill employees
- Well-developed computer skills required in MS Office Suite (Word, Excel, Outlook, Visio etc.)
- Proven ability to establish priorities and meet deadlines and demonstrated ability to work either independently or as part of a team
- French language skills are an asset
