The Corporate Services Officer will report directly to the Finance and HR Executive Officer. They will work closely with the HR Network Manager to support both UK-based and country based staff in the British High Commission in Ottawa and across the network of four Consulate Generals in Canada. The Corporate Services Officer will provide essential support and backup to the HR Network Manager and the Finance and HR Executive Officer as required.Roles and responsibilities:

  • To provide administrative support to the HR Network Manager; including maintaining personnel records and updating staff lists and directories.
  • To maintain and update the Crisis Hub and Emergency Contact Details for Canada Network staff.
  • To keep TOIL Records for FCDO Country Based Staff across Canada Network up to date.
  • To assist with the induction process and administrative matters for both UK Based staff and Country Based staff throughout the network.
  • To act as a point of contact for HR-related queries and regularly monitor the HR Enquiries Mailbox.
  • To provide coverage and support for the HR Network Manager and Finance and HR Executive Officer as required.
  • To liaise with the Regional Corporate Services HR Hub in Washington.
  • To stay current with Office of Protocol practices and policies related to the accreditation of UK Based staff.
  • To ensure the HR pages of the Canada Network Teams site are accurate, up to date, and comply with the Canada Network Terms and Conditions.
  • To support all Canada Network staff with FCDO/Canada Network HR guidance, policy, and best practices.
  • To provide administrative assistance to the Corporate Services Director as required.
  • To manage the annual license plate renewal for official vehicles and red plates for UK based staff.
  • To administer customs clearance letters for shipments of personal effects for UK based staff and shipments for the British High Commission or Consulate Generals.

Essential qualifications, skills and experienceEssential on arrival:

  • Must have the right to live and work in Canada at time of application
  • Previous experience in a general administrative or HR role.
  • Strong administration skills.
  • A high level of confidentiality.
  • Excellent interpersonal and customer-facing skills.
  • Strong communication skills, both written and verbal, including active listening.
  • The ability to work accurately, with attention to detail.
  • Proven occupational experience of dealing with customers in HR matters, particularly remotely.
  • Capable of interacting effectively with all levels of management.
  • To work effectively and flexibly with others and be a team player.
  • Be reliable, positive, and open to new ways of working.
  • Flexibility and willingness to learn.
