Primary tasks include: Receiving purchase orders from customers and entering sales orders into Oracle ERP system. Ordering items from our internal factory. Receiving items into our ERP system when the arrive. Processing dispatch documents to ship items to our customers.

The Customer Service Coordinator should possess the ability to perform the following:

  • Under limited supervision, provides customer service assistance for digital readout systems, rotary encoders, and linear encoders.

  • Excellent writing and communication skills are required for this position.

  • Attention to detail and accuracy are critical skills for this position.

  • A variety of routine support activities in the customer service function. Responsible for promoting and maintaining positive customer relations. Responding to customer inquiries and resolving problems. Interacting with other departments to resolve technical product issues, ensure delivery schedule, or help resolve account billing.

  • Provide product and pricing information to customers.

Minimum Qualifications and Experience Requirement:

  • Excellent customer service and phone skills, with ability to work in fast-paced sales environment

  • Positive attitude and team player

  • Proficient in computer software applications such as MS Office (Word, Excel)

  • Quality and detail oriented

  • Ability to multi-task and problem solve effectively regarding customer issues

  • Proficient in computer software applications such as MS Office (Word, Excel)

Customer Service Coordinator Position Primary tasks include:

  • Communications with customer including email and phone

  • Receiving purchase orders from customers via email and entering into Oracle ERP system then confirming with customer plus verifying pricing and lead time. Finding quotations. Working with sales to clarify discrepancies.

  • Creating internal purchase order in Oracle and emailing to order product from our team in France.

  • Communicate in transit shipment details to third party warehouse so they have in advance of arrival. When product arrives at the third party warehouse, communications with warehouse as they verify receipt. Receiving items into Oracle ERP system after verified by third party warehouse

  • Processing dispatch documents to ship items to our customers. Sending packing slips to third party warehouse to get orders shipped to customers. Receiving completed pack slips from 3PL. Entering track numbers into Oracle. Closing Oracle orders.

  • Coordinate account setup, adding new address, any other tasks needed to push order forward.

  • Interact with AR to answer questions on customer account issues. Provide details as requested and help resolve issues.

  • Participation in Engineering Change Notification (ECN) process for new part number creation. Follow closely and once ECN completed get Sales Order (SO) entered as soon as possible. Follow up when ECNs stall and customer orders are on hold.

  • Estimated 250 order lines per month handled by each Customer Service Coordinator. This includes all of the steps / actions shown above that are related to each order line.

Technical Support Position Tasks Include

  • Communications with customer including email and phone

  • Verify warranty coverage.

  • Set up Return Merchandise Authorization (RMA) for authorized returns.

  • On arrival, inspect and receive items into Oracle ERP system.

  • Troubleshoot product.

  • Document findings.

  • Arrange for replacement part to be sent or credit to be issued.

  • Other details on this job role not finalized.
