In 2023, UNICEF started a new five-year country partnership with Romania. The overall aim of the partnership is to continue to accelerate the universal realization of child rights and improve the situation of excluded children living in marginalized communities with large minorities and in most vulnerable and deprived areas. This is accompanied by promoting a culture of rights, social norms and alliances that will benefit all children and enhance equity and solidarity in the country.
Purpose for the job:
Under the guidance of the direct supervisor, Fundraising Officer, Donor Retention and Value Maximization Officer, the Database Management Associate supports the section through providing a range of procedural, administrative, and operational support in developing, implementing, executing, and monitoring the country program, ensuring effective and timely delivery that is consistent with UNICEF rules and regulations.
Key functions, accountabilities and related duties/tasks
Support to program development, planning and execution.
▪ Researches, analyzes, verifies, synthesizes, and compiles qualitative and quantitative data and information from a variety of sources on subject matters relevant to the work of the section to facilitate preparation of reports, working papers, and presentations.
▪ Administers the UNICEF donor database, making sure all donor and payment data is up to date, using Salesforce software and other dedicated donor management software, as needed.
▪ Develops and maintains efficient systems for data cleansing, data entry, gift processing, prospect research, and relationship management.
▪ Works in coordination with other team members, vendors (e. g. telemarketing, face-to-face agencies, banks etc.), to optimize tools, document processes and generate valid and good quality information for different fundraising campaigns.
▪ Follow up and support donor acquisition and value maximization campaign plans, emergencies.
▪ Manages the data in the different systems, to support decision making in ensuring integrity and consistency.
▪ Assists in the definition and implementation of data uploading & maintenance criteria and security and confidentiality procedures.
▪ Prepares periodical database reporting to audit the database integrity reporting inconsistencies and suggest improvements where needed.
▪ Performs adequate export and import of donors’ records between UNICEF systems and selected suppliers and platforms, maintaining clean and consistent data, and control the segmentation of data according to the specific needs of the area.
▪ Segments data according to the needs of the different fundraising campaigns and for the Donor Journey implementation (Marketing Cloud).
▪ Prepares and maintains the banking and vendor (e. g. social integrator for direct debit and SMS donations) reports upload to Salesforce, with the objective to ensure integrity in the data, including approved and rejected donations.
▪ Assists in the optimization, integration, and automation of PFP processes and new technology development, contributing with the consistency of the data.
▪ Analyses database data, identifying improvements and problems, segmentations, and other processes in the database to ensure assertiveness of the actions and thus support the direct marketing campaigns actions.
▪ Suggests improvements and carry out data cross-checking whenever needed.
▪ Identifies critical points in the processes already implemented, aiming to bring constant improvements of the flows/systems.
▪ Contributes in designing the development plans and support the controlling process, maintaining data hygiene and monitoring of routines to minimize errors and risks.
▪ Proposes changes to supervisor, considering the current tools and limitations, ongoing or new processes to optimize the work, investments and security of fundraising.
▪ Manages the donor data information flow from various third parties involved in the donations process, such as: telemarketing agency, online payment processor, social integrator of direct debit and SMS donations etc.
▪ Drafts project documents, work plans, budgets, proposals on implementation arrangements.
▪ Carries out transactions in Vision ensuring program results, activities and program coding are as per annual work plans (AWPs) and makes amendments and alterations as per section revisions when necessary.
Support to monitoring and reporting of program results
▪ Prepares monitoring and reporting information for supervisor on agreed performance indicators to drive more efficient management and accountability for results.
▪ Monitors budgets and financial expenditures of section, develops the monthly PBA, ensuring compliance with UNICEF rules and regulations, keeping supervisor informed and advised on actions for decision/follow up.
▪ Provides data analysis, accurate and specific reports to better identify the market opportunities and possible threats and thus support decision making for optimizing the fundraising operation.
▪ Assists in identifying opportunities to improve UNICEF’s database and generate reports that are increasingly aligned with business needs.
▪ Prepares real-time dashboards and KPI reports to guide decision making of the PFP area using UNICEF databases and business intelligence tools such as SQL, Power BI, DAX, Phyton, among others.
▪ Carries out regular interaction with PFP Individual’s team members to facilitate requests and coordinate technical solutions related to reporting and monitoring of campaigns.
▪ Supports the development of Standard Operation Procedures (SOPs) for fundraising activities that involve donor systems, reports, and data management.
Support in resource mobilization.
▪ Researches, analyzes, verifies, and synthesizes data and information in support of preparing reports pertaining to donors (both current and potential).
▪ Researches, analyzes, verifies, and synthesizes data and information to assist in the preparation of periodic or ad-hoc financial reports relating to country office and donors to support the office in optimizing use of program funds.
▪ Generates reports, donor data segmentations to support the implementation of the donor stewardship strategy, with a view to increasing donor retention and maximizing their long-term value.
▪ Carries out transactions in Vision pertaining to grants for his/her section such as registering grant allotments and tracking expiring program grants.
Support in Knowledge Management and capacity building.
▪ Researches, analyzes, verifies and synthesizes information on best practices and lessons learnt to support knowledge development and capacity building.
▪ Supports capacity development activities related to performance monitoring, program development, and related internal UNICEF systems/tools by preparing training materials and participating on exercises pertaining to program processes and procedures which aim to build capacity of stakeholders.

To qualify as an advocate for every child you will have:

  • Education: Completion of secondary education, preferably supplemented by technical or university courses in Information Technology, Computer Science, Mathematics, Statistics, Administration, Economics, or related fields.
  • Work Experience: Minimum of six years of work experience, including progressively increasing responsibilities, from data collection, data entry, conciliation, updating to database administration, data management, analysis and reporting, hands-on database tuning and troubleshooting experience.
  • *University degree may compensate experience with the following approach: candidates with a Bachelor degree can be considered with a minimum of four years of relevant experience; candidates with a Master degree can be considered with a minimum of two years of relevant experience
  • Language Requirements: Fluency in English is required. Proficiency in Romanian is considered an asset

Desirable

Advanced computer skills, including internet navigation and various office applications, high proficiency in Excel.
▪ Advanced understanding and knowledge of database systems.
▪ Experience in working with Salesforce (marketing cloud, sales cloud.) will be considered a strong asset.
▪ Experience in operational data entry and data management.
▪ Experience in data segmentation work, generation of variable analysis and construction of information from different sources of information.
▪ Experience in generating reports and dashboards in Power BI, information analysis, consolidation and analysis of qualitative and quantitative data is required. Ability to operate, optimize and personalize database software and Microsoft applications.
▪ Knowledge of SQL is a plus.
▪ Basic direct marketing metrics knowledge is needed.
▪ Analytical, extremely high attention to details.
