Digital Asset Management Assistant

Under the delegated authority of the Chief Information Technology Officer and the immediate supervision of the Senior Cybersecurity and Digital Assets Manager (DBS/SAA), the incumbant will contribute to the publication of documents, and the management of information and digital assets.

The Digital Asset Management Assistant role works as part of a team responsible for ensuring the efficient management, publication, and quality control of documents in the organization’s online repository platforms, UNESDOC. The position involves managing workflows for electronic documents, pre-cataloging and reviewing them for compliance with coding standards, and uploading them to the platform. The incumbent maintains publication collections, compiles statistical reports and dashboards on digital asset activities, and communicates with publication requesters to ensure timely and accurate services.

This role demands strong organizational skills to handle a high volume of tasks, especially during peak periods of the Executive Board and General Conference, when the demand for timely document publication significantly increases. Attention to detail is critical, as the Assistant ensures that all documents meet quality and compliance standards before release. The position requires problem-solving abilities to address technical issues with files or workflows and proficiency in office applications, content management systems (CMS), and PDF optimization.

The key responsibilities of the role are as follows:

  • Manage, pre-catalog, review compliance with coding standards, and upload electronic documents transmitted through the UNESCO’s workflow management systems into the UNESCO official publication platform (UNESDOC). Control the quality of the documents prior to their release and communicate with the publication requester when relevant.
  • Create and maintain publication collections: Circular Letters, Depositary Letters, Ivory Notes, Executive Council, General Conference, Headquarters Committee.
  • Participate in the delivery of statistics and metrics regarding the Digital Assets team and dashboard concerning UNESDOC’s activities.   
  • Working conditions vary during the Executive Board and General Conference, during which publication of documents on the UNESDOC platform substantially increase and are expected in a timely manner by UNESCO’s teams.

Required Qualifications:

Education:

  • Completed secondary, technical, and/or vocational education.

Work Experience:

  • A minimum of five (5) years of relevant professional experience in managing publication workflows and content management systems.
  • Experience with the processes and activities involved in the publication of documents online.

Skills and competencies:

  • Ability to manage multiple tasks, prioritize work, and meet deadlines.
  • A keen eye for accuracy and precision, especially when verifying documents prior to publication.
  • Ability to identify and resolve issues, particularly of technical nature with a file or a process.
  • Ability to communicate effectively with users, colleagues, and other stakeholders.
  • Proficiency in using office applications, publication workflows and Content Management Systems (CMS). A basic understanding of information technology, in particularly in relation to PDF usage and optimization is a plus.

Languages:

  • Excellent knowledge (written and spoken) of English or French and good knowledge of the other language.
