Reporting to the Donor Care Team Lead, Phone Operations, the Representative is a key contributor to the Make-A-Wish Canada Mission by providing excellent customer service, both in person and through phone operations, to donors, the public, and others, as well as office administration while supporting the donor care team.In addition, this role is responsible for supporting the entry of constituent and donor data accurately and promptly into applicable customer relationship systems, ensuring receipts, acknowledgments and other applicable stewardship communications are delivered in an accurate and timely manner.This role is located in Pickering and is a full-time, 8-month contract, onsite position.WHAT YOU WILL DO

  • Provide exceptional customer service in person and via phone and email, regarding a variety of fundraising, mission and stewardship inquiries.
  • Manage office needs, including reception, supplies, office spaces and liaise with building maintenance/management.
  • Open and close the office daily.
  • Responsible for accurate data entry and management into customer relationship management systems (Donor Drive & Salesforce) as it relates to entering donations, updating payments and updating/adding constituent records across Make-A-Wish Canada.
  • Supports the inhouse direct mail fulfillment program.
  • Maintain positive and collaborative relationships with internal team members to ensure donations are accurately reviewed and completed in a timely manner.
  • Facilitate the issuance of tax receipts (original/replacements), acknowledgement cards, and other stewardship communications.
  • Maintain integrity of CRM system by complying with data integrity standards and policies.
  • Work closely with the Revenue Development, Finance and CRM Systems teams.
  • Other duties as assigned.

WHAT YOU BRING

  • Post-Secondary education in a related field or equivalent combination of training, education and administrative/data entry work experience.
  • 1-2 years of experience in a data entry environment. Database data entry & reporting required.
  • 1-2 years of customer service and office administration experience.
  • Excellent organizational skills and attention to detail, with strong ability to plan, prioritize and multi-task in order to adhere to deadlines and shifting priorities.
  • Exceptional customer service, communication, and problem-solving skills.
  • Ability to handle highly confidential and sensitive information.
  • Strong experience working with Microsoft Office applications required, especially Excel and Word.
  • A clear Criminal Background Check will be required.

YOUR WORK ENVIRONMENT

  • Office environment with occasional requirements to work outside of regular office hours.
  • This position requires in-office presence five days a week, 8:30am-4:30pm local time, in order to support the Donor Care team’s hours of operation which are Monday to Friday, 8am to 6pm EST.

  • Work under pressure of tight deadlines, with a high-volume workload, and with multiple demands and changing priorities.
