We are looking for a highly-organised, conscientious individual with excellent administrative, communication and collaboration skills to join the friendly, vibrant and creative team in ImaginationLancaster – a design and architecture research centre of excellence based within the Lancaster Institute for the Contemporary Arts (LICA).Working closely with the Imagination E3 Principal Investigator, academic and professional services colleagues, you will be a crucial, and highly-valued, member of the team playing a vital, supporting role in ensuring the smooth-running of the project.Preferred Start Date: Beginning of June 2024Expected End Date: 31st July 2024Location: On the Lancaster University campusHours per week: 36.5 hoursThe role is varied and you will be responsible for day-to-day administrative tasks; developing, supporting and nurturing the relationships with key stakeholders; coordinating and supporting the facilitation of project events; contributing to the external-facing presence of ImaginationLancaster on its website and social media channels; managing and coordinating the production of project reports, papers and other publications; and monitoring the project budget.The Imagination E3 project, funded by Research England, has been running since August 2019 and has enabled the expansion of ImaginationLancaster through the recruitment of 30+ new staff including PhD Students, Postdoctoral Research Associates, Lecturers, and professional services staff. It has significantly extended the research capacity of an, already excellent, research group which delivers cutting-edge design research to create a healthier, more prosperous and sustainable world.Job DescriptionUnder the supervision of the Principal Investigator, the Research Development Manager and the Impact Manager, the Imagination E3 Coordinator will be responsible for the following:

  • Day-to-day management and planning, organising and implementation of collaborative research activities including meetings, UK travel etc.
  • Coordination of international and in-country travel for the UK project team, including visas, conference travel etc.
  • Development, support and nurturing of relationships with project partners and key stakeholders, acting as a central point of contact and overseeing project-wide relationship management.
  • Coordinating and supporting the facilitation of project events including meetings, workshops, field visits, symposia and exhibitions.
  • Coordination, monitoring, contributing content and updating of the project website and other social media outlets, including evidence of impact.
  • Ensuring consistent, clear communication of project aims and activities to external partners and other stakeholder groups, and dissemination of project activities both internally and externally.
  • Management and coordination for the production of project reports (including Research England reporting requirements), papers and other publications.
  • Regular updating of project outputs on ResearchFish and university portals.
  • Monitoring of the project budget, overseeing the use of resources and logistics.
  • Supporting the project in other ways as reasonably required.

Person SpecificationEssential

  • Administrative experience, in particular project administration.

Excellent and efficient organisational skills including the ability to strategically prioritise workload to meet tight deadlines and to work to high precision and accuracy.Excellent verbal, written and visual presentation skills for a variety of audiences, face-to-face, phone, and electronic communications.Evidenced experience of collaboration and team working skills, including liaising with partners or customers.Demonstrable skills in Microsoft Office Suite. * Ability and willingness to undertake occasional national travel.Desirable

  • Experience of impactful communication through print and online media to a range of audiences.
