Event Organizer / Event Service Provider

ASSIST ASIA calls for applications from individual / organizations who have displayed past experience in organization of demonstrations and events for the public in the past. We are looking for an organization based in Bangkok, Thailand to support us in executing 4 events within the vicinity of Bangkok to give an immersive experience to “General Public” which includes Parents, Youth and other personas within the country. The event organizers will be expected to coordinate, facilitate, support and procure necessary items to complete the demonstration events.

SCOPE OF WORK

  • Organize four demonstration and outreach events in and around Bangkok, Thailand.
  • The demonstration event should be facilitated / conducted in public places (example Malls, festivals, or any area of public interest) to generate interest of target personas to experience, participate or try the VR metaverse.
  • Provide manpower across 4 events maximum 2 days per event to manage the booth / stall.
  • Research and plan the demonstration event – location scouting, gathering quotes and finalization of demo event location from possible event hosting locations, coordinating with printers and suppliers to procure event assets – booth material, standees, banners, giveaways for attendees, brochures/flier printing and any other identified assets required during demonstration events.
  • Ensuring on-day coordination with ground staff to facilitate the event – manage booths, invite and speak to participants / attendees, document their experience, ensure response to survey and take photographs of the experience.
  • Procure necessary items to complete the promotional events including but is not limited to renting a place in a mall and crowded public spaces.
  • Ensure 60-70 people experience the demo with hands-on experience to try the VR game.
  • Promote the event within their network to let people know in advance about the demonstration.
  • Coordinate to align expectations and meet the goal of the project.
  • Have a good knowledge and experience around Bangkok city to facilitate events and coordination availability of manpower.
  • Costs related to location, printing, procurement of material, giveaways and hiring of event assets – monitors, booth equipment, standee, banners etc. will be taken care of by ASSIST. The expectation from the provider is to provide on-ground coordination and support to ensure demonstration events happen smoothly and as per expectations.

QUALIFICATIONS/REQUIREMENTS:

Education/Training: Diploma, Bachelor, Master or postgraduate training degree in Communication, Business, Marketing, Public Relations, Hospitality and relevant fields

Language: English and Thai

Professional experience:

  • Minimum of three (3) years of experience in event management and event organization
  • Proficient in all aspects of events including client and vendors coordinating, promotion, meetings, logistics, participant communication, and record keeping.
  • Demonstrated expertise in project management, organizational skills, risk management, and time management.
  • Ability to ensure seamless event execution and effectively resolve on-site issues.

Preferred Criteria:

  • Experience in the development sector or working with non-profit organizations for events/promotion management
  • Experience working in a multi-cultural environment/international clients
