Coast Funds – Executive Administrator (Permanent Full-Time)
Location: Vancouver, BC

In 2024, First Nations worked with Coast Funds and other partners to secure new funding, through the , for marine stewardship and community development. Today, the organization manages conservation endowments and economic funds, which are allocated between participating First Nations. Coast Funds also provides financial administration services to First Nations and their partners.To date, Coast Funds has delivered for over 450 Indigenous-led conservation, economic development, and sustainable energy . As Executive Administrator, you’ll support the Chief Executive Officer and lead the administration of governance, communications, and operations at Coast Funds.CEO and Board Support
- Support the CEO by maintaining their calendar including adding events, rescheduling appointments, providing daily briefings, and coordinating staff meetings and team events.
- Serving as the recording secretary to the board of directors, develop agendas, meeting schedules, prepare and upload meeting packages, and record minutes for board and committee meetings.
- Record action items resulting from board or committee meetings, and support staff proactively by communicating and keeping track of key deadlines and deliverables.
- Lead event coordination for board and committee meetings including arranging off-site space, catering, travel, and accommodation. Prepare and manage logistics for Coast Funds’ annual in-community board meeting and the annual general meeting.
- Provide support to the CEO and staff as needed, including editing and drafting correspondence or briefings and providing clerical support as required.
- Arrange travel and accommodations for management and directors as required.
Project and Communications Administration
- Provide timely and accurate record keeping for funding applications and related correspondence in the organization’s Salesforce database and file server as requested.
- Produce and email regular correspondence to First Nations including funding allocation reports, notice of upcoming application deadlines, and other updates.
- In collaboration with the CEO and Communications Manager, support distribution of the Chair’s quarterly letters and annual reports from the board to Members and Funders.
- Coordinate and lead assembly and mail out of printed communications materials such as the annual Talking Stick magazine, Coast Funds’ annual report, welcome packages for incoming council members, and ad-hoc publications.
- Support the Communications Manager with intermittent reviews of web content, including checking that links, files, and information is current and meets the needs of First Nations and Coast Funds.
Administration
- Ensure timely record keeping and accurate data entry for all contact updates in Salesforce, and coordinate with the Communications Manager to ensure agreement with Mailchimp (Talking Stick e-subscribers), and WordPress (project story contacts).
- Provide event coordination and administrative support throughout the preparation and the hosting of special events and forums.
- Maintain Coast Funds’ corporate (shared) calendar in Microsoft Outlook and SharePoint.
- Maintain and monitor corporate voicemail and email, and administer all aspects related to mail and couriers.
- Develop and maintain documentation of Coast Funds’ administrative procedures.
- Assist with other general tasks as required.
About You:
Our client is looking for an organized, detail-oriented, and experience administrative professional who shares their commitment to serving First Nations with respect, integrity, and accountability.Specifically, they’re looking for someone who:
- Holds a bachelor’s degree in a related discipline (e.g. business administration) and/or an equivalent combination of experience and training.
- Brings five or more years of related experience in progressively more responsible and complex administrative position(s), including experiences supporting senior management and/or board members.
- Has a proven track record of managing confidential client information and corporate file systems.
- Is proficient with Microsoft Outlook in arranging meetings and managing multiple calendars, and has experience in drafting, proofing, and editing correspondence for executive audiences.
- Experience with customer relationship management software such as Salesforce would be an asset.
- Experience working with First Nations, Indigenous communities, or rural economic development would be an asset as would familiarity with the Great Bear Rainforest and Haida Gwaii region and coastal First Nations.
