We are in search of an Executive Assistant to join our team in the Wood & Furniture Manufacturing industry, based in Toronto, Ontario. In this role, you will be a crucial element in maintaining and enhancing our customer-responsive and adaptable approach to business. Your main focus will be to support the CEO in managing tasks and deliverables, ensuring optimal organization and efficiency.Responsibilities:

  • Manage the CEO’s calendar comprehensively, coordinating complex schedules and travel itineraries
  • Serve as the primary point of contact for both internal and external communication
  • Keep the CEO informed about upcoming commitments and responsibilities
  • Handle sensitive and confidential matters related to the daily activities of the CEO with discretion
  • Provide professional administrative support in a respectful and friendly manner
  • Assist in additional duties as assigned, including personal support tasks and ad hoc requests at the discretion of the CEO
  • Take minutes at meetings and review and revise them according to specified formats
  • Utilize various software programs like Microsoft Excel, Word, PowerPoint, Outlook, and video conference systems proficiently
  • Ensure exceptional customer service standards are met
  • Display excellent communication skills, both verbal and written

This role offers a long-term contract employment opportunity.

  • Proven experience as an executive assistant or similar administrative role within the Wood & Furniture Manufacturing industry
  • Proficiency in using ADP – Financial Services
  • Familiarity with Cisco Webex Meetings for coordinating virtual meetings and conferences
  • Experience with Concur for managing travel and expenses
  • Proficiency in using Customer Relationship Management (CRM) software for managing customer data and interactions
  • Knowledge of Kronos Timekeeping System for tracking employee time and attendance
  • Experience with About Time software for managing mobile resources
  • Proficient in Calendar Management to manage executive schedules and appointments
  • Strong communication skills for liaising between executives, staff, and other stakeholders
  • Experience in organizing and handling Conference Calls
  • Ability to draft and manage Correspondence on behalf of executives.
