  • Coordinates workflow and activities to ensure systematic tracking of time commitments and tasks
  • Prioritizes and manages the Vice President’s calendar (schedules meetings and makes adjustments based on changing needs and priorities to resolve scheduling conflicts)
  • Receives, reviews, prioritizes incoming material/requests; responds to or refers to Vice President or business unit for action as appropriate; follows-up on outstanding items
  • Receives visitors and phone calls from a variety of internal and external sources on various matters some of which may be contentious or highly sensitive; handles routine matters on own initiative and refers others to the Vice President or appropriate business unit as required
  • Receives notification from a variety of sources about issues which arise; informs the Vice President of matters which require immediate attention
  • Gathers information from other sources, conducts research, prepares documents, acts as liaison to expedite the flow of information, compiles and audits data/statistics and summarizes information for the Vice President
  • Proof-reads, edits, formats and drafts/produces a variety of documents in compliance with policies and procedures for Vice President’s review
  • Compiles supporting data for annual budget request; submits expense claims and registration fees
  • Establishes and maintains electronic and manual filing systems; ensures security of information and maintains confidential access
  • Prints, photocopies, faxes, collates, distributes and retrieves documents/files
  • Maintains distribution lists, membership databases, directories and other records as required
  • Organizes meetings/conferences/seminars and all necessary logistics
  • Provides administrative support for meetings, organizes agendas and relevant material
  • Records, transcribes and distributes minutes of meetings
  • Participates in/leads special projects and performs other duties as required

What must you have?

  • Post-secondary degree in office or business administration, or related field.
  • Progressive administrative experience, including executive-level administrative support, which is normally acquired after five (5) years.
  • In-depth knowledge of administrative processes, procedures and protocols
  • Advanced keyboarding skills and proven proficiency with a variety of software programs in the Microsoft Office Suite
  • Ability to research and integrate information from a variety of sources into effective material for Vice President’s review
  • Highly developed organization skills
  • Demonstrated ability to prioritize information received based on knowledge of current issues, deadlines, urgency of situation, sensitivity of material
  • Effective minute taking, writing, proofreading and editing skills
  • Excellent communication and listening skills
  • Exercises tact and discretion with the ability to recognize, handle and protect highly sensitive and confidential information
  • Ability to establish and maintain effective working relationships with staff at all levels

  • Knowledge of issues and priorities within the health care sector
