Act as a liaison between the SVP and the Business Units (BU) building and maintaining relationships with direct reports.This role will be a leader within the BU admin team and work collaboratively to ensure consistency with BU and Corporate processes and policies. The successful candidate will become a mentor and coach of junior staff to provide guidance for career progression.Major Responsibilities:Accountable for maintaining a high level of confidentiality and discretion as this role has access to, and actively works on, sensitive internal financial and personnel documentsCoordinate day-to-day activities of the Executive and oversee logistics for various meetings including conducting background research required for meetings, appointment balancing, travel arrangements, catering, etc.Prepares correspondence, reports, presentations, and internal communication materials proactively. Additionally, reviews all materials prior to releasing to the President for review during Board and ELT meetings to ensure consistency and accuracy.Conserves Executive’s time by reading, researching, and routing correspondence; collecting and analyzing information; initiating communications; answering/responding to and managing incoming calls.Tracks the departmental budget and plays a key role in the planning of the department’s budgeting requirements; distribution of monthly reports and maintaining up to date records of expenditures.Schedules and attends confidential management meetings, prepares agendas, and transcribes and/or distributes minutes.Reviews operating practices and implements improvements where necessary. Proactively addresses inefficiencies and deals with challenges and issues as they arise.Works collaboratively with the Sr. EA team on projects as determined by the team – is a team player and is actively involved.A team player who is efficient, proactive and sets the ‘tone from the top’ to ensure knowledge and information is shared throughout the organization.Develop understanding of corporate affairs business objectives and work collaboratively with the team on tracking and execution.Liaise regularly with the Government and Shareholder Relations team for Board meetings to prepare and review Board material in preparation for regular meetingsEducation Required:Minimum Grade 12 education required.Post-Secondary school would be considered an asset.Qualifications & Experience:Minimum 10 years of administrative experience with at least 5 years at a senior levelSuperior judgment in handling sensitive and highly confidential issues.Excellent Microsoft Office skills (Outlook, MS Teams, Word, PowerPoint are a must, SharePoint and Excel preferred) with a practical ability to create high level presentations, review and organize budgets and information.Proven experience managing executive and board level materials and meetings.Ability to proactively organize and prioritize correspondence as well as calendar management.Competencies:Exemplary time management skills – we’ll need you to stay one step ahead of the executive leader and effectively manage busy schedules while anticipating and prioritizing their needs.Teamwork – You’ll work closely with a strong team of leaders in the organization, as well as other Executive Assistants to build relationships with our business leaders that will help keep us driving strategic priorities.High level of decision-making autonomy for prioritizing executive’s meetings balanced with time for day-to-day work.Accuracy, adaptability and problem solving are a big key to success in this role. Having an eagle-eye for details is a must.
