The Executive Assistant will handle complex, highly confidential, and critical assignments. The Executive Assistant will be required to function efficiently and effectively in a professional environment with team members, leaders and allies.Is this the challenge for you?The daily responsibilities in this role include, but are not limited to:

  • Provides professional and confidential executive support for the President & CEO, other Executive Leadership Team and Corporate Secretary as needed
  • Independently manage multiple tasks and projects with competing priorities and deadlines
  • Organizing and maintaining both paper and electronic filing records as required
  • Prepares correspondence, editing and proofing, including report collation
  • Manages email messaging, Outlook calendars and mail correspondence
  • Prioritize communications and requests from external and internal sources
  • Organize and maintain all administrative processes related to the President & CEO’s office
  • Maintain Executive Leadership Team documents to include compilation of all documents, agenda items tracker and action lists for preparation of ELT meeting agendas
  • Attendance at all regular ELT meetings; records, transcribes and circulates minutes with action item follow up
  • Manages extensive travel arrangements for the President & CEO, including out-of-town logistics as required, coordination with other departments and bases relating to the President & CEO’s attendance at events and meetings at each of the STARS bases and cities of operation
  • Facilitates the review and signature of all documents and ensures proper completion
  • Review and prepare expenses and MasterCard reconciliation submissions according to accounts payable cut-off schedules
  • Plan & execute various internal and external team meetings and events, as well as celebration of milestones
  • Provides coverage for other members of the administrative team as required
  • Assist with logistics for all Board and Committee meetings, including meeting venues, audio visual requirements, catering and board travel, as requested by the Corporate Secretary
  • Other duties as assigned

  • Highly motivated, enthusiastic team player who is willing to pitch in at STARS however is needed
  • Maintains a high degree of professionalism and confidentiality
  • Ability to learn new technology and apply these skills within any work environment
  • Provide efficient technical support to the President & CEO, the CFO and to the Executive Team as required.

Experience and Education:

  • Post Secondary Diploma/Degree in a relevant discipline or equivalent experience
  • 7+ years’ experience in a senior administrative role, supporting one or more executive leaders
  • Experience working with senior executives in a fast-paced environment preferably in health care or a non-profit organization
  • Advanced skills and knowledge of MS Office applications and virtual technology applications
