Through this work, the Commission is helping to build inclusive communities and protect human rights in Nova Scotia.For more information about the Commission, visit our website –About Our OpportunityThe Executive Assistant provides senior level administrative support to the CEO and with minimal direction, is responsible for the efficient and effective operation of the CEO’s Office. This involves managing, coordination and scheduling of all aspects of the CEO’s role including: issues management; budget administration and financial management, government relations; human resources; stakeholder and public relations; etc.The Executive Assistant maintains up-to-date knowledge of government practices and policies in order to deal with and decrease the amount of time the CEO spends on routine matters such as inquiries, correspondence, and requests on transactional or administrative matters.The Executive Assistant is the Recording Secretary for the Board of Commissioners, supporting decision making processes, Commission meetings, correspondence, record keeping, etc.As the Commission’s most senior administrative role, the Executive Assistant provides functional leadership and coordination to the administrative team. This role also coordinates certain aspects of Commission operations beyond the CEO’s Office including office space and furniture, equipment and technology, security system and office access, liaison with landlord and service providers, documentation of administrative processes, etc.As a back-up function, the Executive Assistant provides administrative support to the Commission Legal Team which includes certain legal assistant/paralegal functions during the Legal Assistant’s absence.The Executive Assistant provides leadership, coordination, and support in an environment where cultural competency, public accountability, trauma-informed practice, and restorative approaches are expectations of all team members.Qualifications and ExperienceCompletion of post-secondary education in secretarial studies, business/office administration or paralegal studies is required along with a minimum of four years of experience in administrative/senior administrative roles. An equivalent combination of training and experience may be considered.Your ability to prioritize multiple priorities under tight deadlines is essential to your success in this role. You have strong teamwork and collaboration skills, as well as excellent communication skills to liaise with various stakeholders and the diverse public we serve. You must have a high degree of professionalism, tact, diplomacy and consistently exercise discretion and confidentiality in managing correspondence and information. Strong attention to detail is critical in this role with a particular focus on proofreading, punctuation, and grammar skills. You maintain composure in stressful situations.Experience working in a legal environment and/or managing an executive office is considered an asset for this role.
