GGGI has been present in Guyana since 2018 and has been supporting the Government of Guyana and collaborating with donors and other partners in three main areas: renewable energy, forest and land-use management and, adaptation and coastal resilient projects.

 

POSITION SUMMARY

Based in Georgetown, the Finance, Administration and Procurement Sr. Assistant will provide administrative support to the Guyana Office and the “Strategic Management Support for the Norway- Guyana Portfolio” project funded by Norwegian Agency for Development Cooperation (NORAD). His/her role will enable the successful delivery of the project and country programs through administrative tasks which include understanding and proficient use of GGGI’s systems (ERP, E-recruitment, and E-procurement), raising requisitions and invoices, carrying out minor and low-value procurement processes, supporting hiring processes, organizing travel arrangements and financial information for reporting purposes, providing support in the organization for: workshops and meetings,  general office administration, taking notes; IT asset count, office well-being and staff engagement, supporting expat staff in administrative requirements related to relocation and administrative needs of regional initiatives.

He/she will support the execution of the GGGI Guyana Country project portfolio by enabling all required operations and reporting to the Finance, Administration, and Procurement Associate and the Program Officer.

 

PURPOSE
  • Carry out essential admin operations/transactions that require a basic understanding of GGGI’s rules, procedures, systems, and tools, complying with established GGGI policies, standards, and donor requirements.

  • Provide assistance on day-to-day administrative activities for the successful functioning of the country office.

  • Perform procurement-related tasks to guarantee the programs’ successful and timely delivery.

  • Provide logistics support for the organization of workshops, conferences, meetings, and other events.

  • Support travel-related tasks, abiding by GGGI’s rules and procedures and ensuring that these processes are fully documented.

 

ENGAGEMENT
  • Work closely with the Finance, Administration, and Procurement Associate and the Program Officer, and other country officers to support administrative aspects of program and project implementation.

  • Engage with internal and external stakeholders to guarantee compliance with GGGI’s rules when carrying out HR, Procurement, Events, and travel-related processes.

  • Liaise with regional office staff, country teams, and HQ staff as necessary to perform duties.

  • In coordination with operations staff and HQ, support HR-related tasks.

 

DELIVERY
  • Provide administrative support as required, including, but not limited to, note-taking, agenda development, calendar updates, meeting scheduling, event organization, and travel arrangements.

  • Support finance and procurement staff in administrative functions related to payments, budgets, procurement, and hiring processes in compliance with donor conditions, GGGI’s Rules and Regulations, and internal systems.

  • Support regional engagement initiatives through in-person and virtual meetings, social events, learning opportunities, and knowledge sharing.

  • Support high-quality document management and project document record keeping through GGGI’s internal tools and systems.

  • Coordinate the development of presentations, documents, and tools as appropriate.

  • Coordinate onboarding new staff and consultants in consultation with hiring managers.

  • Support relocation arrangements for expatriate staff.

  • Support administrative tasks related to regional office projects’ finance, procurement, and operational delivery.

  • Support initiatives to enhance staff well-being and engagement.

  • Other administrative support as needed and/or requested. 

 

REQUIREMENTS
QUALIFICATIONS
  • Guyana citizens or entitled to work and live in Guyana.

  • Bachelor’s degree in administration, economics, finance, public administration, management, or any discipline related to the assignment.

  • Preferable at least 2 – 3 years of professional experience in the above fields.

  • Working experience with international or technical assistance organizations that deliver donor-funded projects will be an asset.

  • Good level of proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.), as well as Enterprise Resource Planning (ERP) or similar software.

  • Experience working in teams with varied levels of responsibilities.

  • Experience coordinating integrated service platforms with the team, ensuring service quality and compliance.

  • Strong English communication (speaking, writing and presentation) skills.

  • Spanish communication is advantageous but not mandatory.

  • Good understanding and ability to execute operational processes that lead to successful project delivery.

  • Willing to share ideas with the team during brainstorming and problem-solving exercises.

  • Good at problem-solving, asks questions, seeks support when needed and shares knowledge with others both internally and externally.

WORKING CONDITIONS

The  Finance, Administration and Procurement Sr. Assistant is a National Position at X5 grade level in GGGI’s Guyana national salary scale. The salary range for the position starts at USD 15,317 per annum, depending on qualifications and experience. GGGI provides 15% of base salary towards retirement plan/long-term savings, 27 days of annual leave, and private health insurance that covers dental and vision.
