Finance Administrator

Cardiff University is recruiting a Finance Administrator to work within the recently formed Finance Services Unit. This post will work specifically within the Income Team.

You will provide an administrative service to the School/Directorate, engaging and completing a range of routine tasks to meet operational and customer service requirements. Providing support and guidance on maintaining the minimum level of debtors, ensure the Income team is supported and key duties undertaken.

The successful candidate will be customer focused, organised, possess very good Excel, written and oral communication skills, and be able to coordinate effective team working as well as working on your own initiative.  Attention to detail and accuracy are essential.  You should have significant experience of working in an office environment, (experience of the Higher Education sector being an advantage, but not essential).  You should possess excellent IT skills (across all MS Office packages) and customer service experience.

The post is full time 35 hours per week, open ended and available immediately.  

Salary: £22,197 – £24,144 per annum (Grade 3)

Standard shift pattern – Monday to Friday

Job Description

Key Duties

  • Deal with a range of enquires from internal and external customers in a professional manner, establishing their requirements and adapting the standard responses accordingly
  • Collaborate with others in order to make recommendations for developments of established processes and procedures
  • Establish working relationships with key contacts to help improve service levels
  • Undertake a variety of  administrative duties to support the team and department
  • Gather and analyse data to update administrative systems with accurate information, establishing basic trends and patterns in any data submitted
  • Contribute to the success of the team, leading others through example, and supporting the supervision and management of the team

Specific Duties

  • To answer any low-level student, connect enquiries.
  • To assist in the answering of emails received into the staff tuition fee in box.
  • To answer telephone calls through Netcall
  • To add sponsorship details to the SIMS database
  • Creation of Commercial and Campus Services Oracle sales invoices
  • Sending Oracle copy invoices
  • Forwarding Research Dunning letters and adding notes to Oracle
  • Updating Oracle notes for all Disability invoice queries (including confirmation that the invoice has been sent out with backing)
  • Manual allocation for non-tuition receipts
  • Responding to student email enquiries
  • Kinetics booking sheets
  • Kinetics invoicing (Conferences & Catering)
  • Inputting Direct Debits (start of session only)

Qualifications and Education

  • NVQ 2/GCSE level A-C or equivalent
  • Knowledge, Skills and Experience

  • Significant experience of working in an administrative or office environment
  • Proficient in using common office IT packages (e.g. MS Office)
  • Ability to set up standard administrative systems and procedures
  • Customer Service, Communication and Team Working

  • Ability to communicate effectively and professionally with a wide range of people
  • Ability to work as an effective team member, providing advice and guidance to other team members where necessary
  • Proven ability to deal with escalated requests for information or service, resolving  customer issues where appropriate
  • Planning, Analysis and Problem Solving

  • Ability to plan, prioritise and organise own workload within established time scales
  • Ability to use initiative in solving problems and responding to queries ensuring compliance with standard procedures and practices
