Job Summary:

Reporting to the Associate Director, Administration and Finance, provide financial and accounting services for Enrolment Services as part of its Administration and Finance team by developing and implementing financial, accounting, audit, investment, risk, and procurement support. Process and monitor financial transactions. Audit various operations of the units within ES. Ensure effective procurement strategies and provide procurement services to the unit.

Primary Responsibilities:

  • Review all financial transactions for accuracy and compliance. Verify costing allocations and act as departmental approver.
  • Act as point of contact for all staff and leaders requiring financial/administrative assistance.
  • Monitor funds, spending trends, budgetary expenses and provide detailed monthly budget expenses to Leadership team.
  • Monitor salary budget and work closely with HR Advisor and unit to support hiring/recruiting process.
  • Validate expenditures in compliance with policies and regulations using reporting tools and protocols advocated by Financial Services. Ensure financial controls and audit are in place to support budgetary planning and constraints.
  • Responsible for the monthly Moneris Reconciliation to record revenue for Records, Exams, and Convocation and any other ad-hoc revenue streams.
  • Reconcile monthly chargeback transactions to ensure sales recorded properly between Service Point Checkout and the bank deposits.
  • Maintain and monitor funds and contact central finance to terminate, open and/or extend FOAPALs.
  • Monitor monthly outstanding accountable advances report and help with the settlement of the transactions.
  • Administer purchase order (PO) requests, creation, or cancelation/liquidation, and ensure compliance and accuracy of information.
  • Process student stipends and awards.
  • Support Enrolment Services leadership team with creating budget plans and monitor/reconcile transactions accordingly.
  • Assist and act as delegate, when necessary, to support the Associate Director, Administration and Finance with the management of financial approvals such as expense reports, payment requests, journals, student stipend payment (SBA) etc. Assist with Annual Budget Distribution and Budget Forecasting process.
  • Organize and provide training to local staff members on financial affairs and policies to ensure best practices are followed, as well as introduce new systems, processes, and financial tools.
  • Supervise administrative support staff within leadership team of the Associate Director, Administration and Finance (Administrative Coordinator and Administrative Affairs Assistant).
  • Assist Associate Director Finance and Administration with special projects as required and perform other related financial duties.

Other Qualifying Skills and/or Abilities

Knowledge of accounting and financial management and experience administering a variety of funds and preparing detailed budgets. Knowledge of McGill University financial policies and procedures is an asset. Knowledge of McGill fund types (or other University), including experience working with operating funds is an asset. Service-oriented with excellent customer service skills. Proven ability to effectively communicate and interact with various levels of administrative staff. Proficient with computerized applications including excel (spread sheets, databases, pivot table), word-processing software, Banner FIS, Crystal reports, Workday, and Microsoft Teams. Excellent analytical and problem-solving skills. Demonstrated organizational skills, ability to multi-task, prioritize, and meet deadlines. Ability to work autonomously and as part of a team. Facilitate and maintain strong, consistent, and positive communications. Proficient in both oral and written in English. French is an asset.
